The Assistant Director of Admissions and Outreach plays a pivotal role within our school community. This position combines administrative support to the Director of Enrollment Management with community-building initiatives to attract, enroll, and support students and families in alignment with our Purpose and Core Values.
The ideal candidate for this position is an effective communicator and strategic thinker who is passionate about creating an inclusive and vibrant school community. They must bring a student-centered, asset-based approach to the work and have a deep understanding of how to build equitable, inclusive, and supportive experiences that center the needs of students and families throughout the admissions process and during their time at Pilgrim.
Responsibilities include, but are not limited to:
Serve as an initial contact for prospective families to Pilgrim School
Partner with the Director of Enrollment Management to lead admissions operations, overseeing recruitment, marketing, outreach strategies, and communications for prospective, admitted, and newly enrolled families.
Manage application and enrollment processes from initial inquiry through matriculation, managing portal systems, and ensuring data accuracy.
Respond promptly and professionally to admissions inquiries, providing accurate and compelling information about the school.
Coordinate and conduct campus tours and visits for prospective families.
Support the planning and execution of admissions events, including open houses and information sessions.
Supervise the Neighborhood Scholars Program
Coordinate and participate in the internal Admissions Committee to evaluate applicants and contribute to final selection decisions.
Lead planning and coordination of student visit days, support the design and execution of admissions events that showcase school culture and signature programs, and create event materials such as programs, name tags, etc.
Assist in training student and parent ambassadors and other admissions volunteer opportunities.
Foster cross-department collaboration with faculty to ensure a memorable application process.
Coordinate the transition of newly enrolled students into Pilgrim
Support schoolwide initiatives, communication, and any other logistics that would require multi-department partnership.

Position Requirements
Bachelor’s degree required
Minimum of 5 years of experience in a K-12 school setting, particularly with independent school admissions, community outreach, or educational administration.
Commitment to diversity, equity, inclusion, and belonging, and demonstrated experience, grounding, or coursework in related practices.
Strong organizational skills and attention to detail.
Superior skills in communication and technology, including outstanding writing and public speaking skills.
Strong understanding of data and information systems, and the ability to analyze and communicate data to make informed decisions.
