Westridge is seeking an Administrative Assistant to the Lower & Middle School to join our community. Reporting to the Director of Lower & Middle School, the ideal candidate will bring strong organizational and customer service skills to this role. This position provides administrative support to the Director of the Lower & Middle School, the Assistant Director of Lower and Middle School and the Dean of Student Activities and Auxiliary Programs, among other duties.
Specific Responsibilities Include:
Assists in the day-to-day operations of the lower and middle school divisions
Provides administrative support for the lower and middle school division office
Maintains calendars (Veracross and Outlook), answers phone, files, takes minutes at division meetings and CASC
Oversees lower and middle school communications – sends or creates mailings (primarily electronic mail and some letter communication)
Supports all lower and middle school events (scheduling, communication and coordination)
Responsible for communications with parents as needed
Oversees grade level pages on Veracross and maintain the web page for the division including soliciting and developing content
Responsible for textbook and supply orders
Works closely with the Dean of Student Activities and Auxiliary Programs to help arrange for transportation and collect permission slips for field trips. Works closely with the Health and Wellness office for student health information or needs for day field trips, retreats or class trips
Responsible for monthly expense reports and tracks budget expenditures; works with teachers to ensure timely return of receipts
Arranges for substitutes, including logging in to Teachers on Reserve to confirm substitute payment. Manages an in-house substitute list.
Oversees all needs for parent conferences
Miscellaneous duties as assigned (for example, support for Progress Reports and teacher directed events)
Assists with the day-to-day administrative needs during Tiger Camp, including answering phones and responding to parent emails and negotiating early dismissals and late arrivals.
Qualifications
Bachelor’s Degree preferred
3-5 years administrative experience preferred
Previous experience working with upper elementary (grades 4-8) students, preferable in an all-girls environment
Excellent project management and organizational skills.
Ability to embrace a collaborative work style and interact in a positive and proactive manner with all school constituencies.
Strong interpersonal, written, and oral communication skills, with the ability to prioritize tasks.
Possess a strong commitment to the mission and vision of Westridge School
Salary
This is a permanent, full-time, non-exempt position and is eligible for Westridge’s comprehensive benefits package that includes paid time off, medical, vision, dental, and generous 403b retirement options. Salary range is between $31.25/hr and $36.05/hr, depending on experience.
Schedule: 40 hours per week as follows: Monday- Friday with flexibility to work different shifts (including early mornings and evenings) and weekends when necessary. This is NOT a remote position. Some travel may be required.
