GENERAL PURPOSE: Under the direction of the Aztec Student Union Programs Coordinator, the Aztec Student Union Board (ASUB) Programs Assistant plans and coordinates events and activities in support of Associated Students' and the Conrad Prebys Aztec Student Union's missions.
ESSENTIAL DUTIES & RESPONSIBILITIES
Primary Functions
Assists with the planning, logistics coordination, and execution of ASUB, Student Union, and A.S. programs and events by working closely with the respective ASUB Committee Chair(s), including Homecoming, GreenFest, Aztec Nights, Open Mic Series, Cooking with Chefs, Aztec Rocks Hunger, Rock the Vote, etc.
Attends and works various ASUB, Student Union, A.S., and campus-wide events
Conducts event research and assessment as assigned by the A.S. ASUB Staff and provides training to fellow Assistants, student leaders, and volunteers as needed
Plays a critical role in helping implement new and unique events, and initiatives within the Conrad Prebys Aztec Student Union
Makes reservations for A.S. and campus facilities, and confirms set-up arrangements
Computer knowledge using Windows, Google Suite and Microsoft Suite, as well as social media, including Instagram.
Collaborates with event staff from Union Programs & Services and various departments across campus (such as Aztec Shops, Catering, Center for Student Orgs and Activities, Residential Education Office, etc.) to ensure the execution of successful events
Initiates contracts and payment for guest artist, entertainment groups, and/or vendors
Works diligently with guest artists, vendors, and sponsors in preparation and on day of events and programs
Supports the development and execution of event marketing and promotion strategies, including digital and physical materials such as flyers, table tents, and Reels.
Works closely with the Aztec Student Union Programs Coordinator in the creation of fliers, website updates, digital signage, and other promotional items
Prepares correspondence, agendas, etc. as directed by ASUB Staff
Attends weekly ASUB Board and Standing Committee Meetings
Attends monthly Programs Assistant Team and Professional Development meetings to stay informed and engaged in ongoing learning.
Answers telephone, emails, etc. on a daily basis and works under strict deadlines
Maintains and organizes all workspaces, including storage rooms and event spaces, ensuring all materials are accessible and ready for use.
Manages project tasks and collaborates with team members to ensure deadlines are met and projects are completed effectively.
Other duties as assigned by the A.S. ASUB Staff
Committee and Role Support The Programs Assistant may be tasked with supporting and assisting various committees and projects, including but not limited to:
Marketing Committee: Supports the Marketing Chair and committee in promoting ASUB and Student Union events, programs, and recruitment by engaging the SDSU student body through digital and print media. Organizes semesterly events to support ASUB volunteer and Chair recruitment. Manages and updates the Student Union Instagram account, co-creating and producing content alongside the ASUB Marketing Chair.
Union Nights Committee: Plans and executes unique late-night events that provide students with free and safe alternative programming, including Aztec Nights. Supports the Union Nights Chair and committee in brainstorming event concepts and ensures the committee's vision is brought to life.
Culture, Arts & Film Committee: Plans and executes educational, cultural and arts-based activities. Supports the Culture, Arts & Film Chair and committee in brainstorming event concepts and ensures the committee's vision is brought to life. Recurring events include Cooking with Chefs and Monday Night Movies.
State Spirit Committee: Plans and executes events that encourage connections to the SDSU community and promote lasting school pride. Supports the State Spirit Chair and committee in brainstorming event concepts and ensures the committee's vision is brought to life. Previous events include De-Stress Fest and Valentine's Day Event.
GreenFest Committee: Plans and executes the GreenFest week-long series of events, promoting sustainability, diversity, and SDSU pride in the Spring semester. Supports the GreenFest Chair and committee in brainstorming event concepts and ensures the committee's vision is brought to life.
Music & Entertainment Committee: Plans and executes music and entertainment-based events, providing opportunities to showcase SDSU student talent and professional entertainment. Supports the Music & Entertainment Chair and committee in brainstorming event concepts and ensures the committee's vision is brought to life. Recurring events include Open Mic Nights and Nooners.
Operations Committee: Supports the Vice Commission of Operations and Operations Committee in advocating for student wants and needs within the Conrad Prebys Aztec Student Union, evaluating student feedback through surveys, focus groups, and word of mouth, and promoting sustainability and LEED features of the Union.
Student Traditions Committee: Plans and executes student-directed activities and events during Homecoming week in the Fall semester and GreenFest support in the Spring semester. Supports the Student Traditions Chair and committee in brainstorming event concepts and ensures the committee's vision is brought to life.
Board Support: Provides administrative and logistical support to the ASUB Board.
Government Affairs Support: Assists with A.S. Government Affairs events and activities, including Aztecs Rock Hunger, Rock the Vote, Aztec Achievement Awards, etc.
Payments Support: Assists in supporting the administrative management of ASUB contracts, payments and purchasing reconciliation.
Customer Service and Collaboration
Establishes and maintains working relationships with various A.S. and University departments
Ensures excellent customer service by supporting event guests, volunteers, and staff in a professional manner.
Safety
Ensures all operations are conducted with safety of staff and customers as first priority, and in accordance with the Injury and Illness Prevention Plan and other safety policies
Adheres to Associated Students' Code of Safe Practices
Reports accidents to supervisor and reviews changes required to avoid reoccurrence Ensures completion proper documentation is completed for each accident (employee and/or non-employee) and forwards to supervisor
Reports maintenance problems and/or broken and unsafe equipment to the appropriate party immediately
QUALIFICATIONS
Minimum & Preferred Requirements
Education:
Students must be enrolled in at least half time units at SDSU (6 units undergraduate; 3 units graduate).
International students must have full-time enrollment at SDSU (12 units undergraduate; 6 units graduate).
Global Campus units do not meet the SDSU unit requirements.
Must be in good academic standing
Must be eligible to work in the United States
Preferred candidate will be a returning student for at least one additional school year
Experience:
Knowledge and background experience of planning and executing small and large scale events required
Previous experience in general office operations preferred
Previous involvement and experience working with groups of people as a team preferred
Knowledge of social media platforms, including experience with creating reels, marketing, and promotion is preferred

SCHEDULE & WORKING CONDITIONS
This is a part-time (20 hours/week) position with expected hours to be worked during business hours of Monday through Friday, 8 a.m. to 4:30 p.m. Late night and weekend hours are common and work hours will be adjusted when needed. Must be available on Mondays, 1p.m. - 2 p.m. for ASUB meetings. Must be available to work a minimum of 10 hours a week during Summer.

This person will also spend time in event settings setting up event supplies, carrying heavy objects such as tables and marketing materials, and standing for long periods of time while executing these events.
