Department Summary
The UCLA Division of Graduate Education (DGE) oversees policies for graduate programs, excluding Dentistry, Law, and Medicine, and is comprised of the following units: Academic and Postdoctoral Services, Fellowships and Financial Services, Diversity, Inclusion and Admissions, and Graduate and Postdoctoral Support. These units handle recruitment, admissions, financial support, policies and procedures, and student well-being primarily, while other units manage internal operational needs, such as IT, Events, Communications, Human Resources/Budget Administration, and provide Institutional Research to campus and UC constituents. All units work together to support over 12,000 students across 130 academic programs and to promote successful progress in graduate education. This comprehensive approach ensures academic excellence, student diversity and prepares students to make significant contributions worldwide. Position Summary
This position reports to the Manager of Graduate Admission Operations with oversight from the Assistant Dean of Diversity, Inclusion, and Admissions (DIA). Incumbent prioritizes and completes ongoing tasks concerning the evaluation and review of graduate admissions applications and release of admissions decisions. Following established departmental guidelines/deadlines and University policies, may recommend changes in procedures based on knowledge and experience, and communicates directly with applicants, students, staff, faculty, and the general public. Other assignments are made by Manager of Graduate Admissions Operations and Assistant Dean on a project basis. Exceptions to standard guidelines are referred to or handled in consultation with the Assistant Dean and/or the Associate Dean(s).

Ability to learn, apply and disseminate a wide range of policy rules, regulations and procedures, including academic and student affairs policy and procedure promulgated by the Academic Senate/Graduate Council (e.g., Academic Senate Manual, Standards and Procedures for Graduate Study at UCLA), UCOP and the Division of Graduate Education. Ability to learn, apply and disseminate policy and regulations governing non-immigrant visas established by the DHS and DoS, and policy on academic credential evaluation emanating from AACRAO, and international credential review guides. Skill in working with a high level of detail in policy, procedures, documents and data files. Ability to interpret, monitor and analyze information regarding operating policies and procedures (Required)
Skill in analyzing problems or goals to define the problem or objective, identify relevant concerns and recognize alternatives and their implications. Interpersonal skills to interact diplomatically and effectively under pressure with various constituents including applicants, graduate students, faculty and staff. (Required)
Ability to work productively and to organize multiple tasks in situations with conflicting demands and deadlines. Skill in setting priorities which accurately reflect the relative importance of job responsibilities. (Required)
Skill in writing, copy-editing, and proofreading text and correspondence for correct style, grammar, spelling and punctuation. Word processing and spreadsheet skills to prepare text for publications, business correspondence, charts, spreadsheets and memorandum with speed and accuracy (Required)
Working knowledge of MS Access to assist with data input and produce reports, as well as with the design and maintenance of local databases. Detailed working knowledge of the operations of admissions related work in college or university setting. (Required)
Skill in speaking clearly and distinctly using appropriate vocabulary and grammar to obtain and convey information to individuals at various organizational levels and in front of groups of people. Platform skills sufficient to effectively present material on a wide range of admissions subjects in order to train staff in understanding and implementing policies and procedures. (Required)
Math/accounting skills to compute grade point averages, determine percentages, and prepare financial reports with speed and accuracy. Ability to access, read, and utilize data from on-line and local computer systems, including use of Microsoft Outlook, Zoom, MS Access, and SQL databases, mainframe systems such as Admissions/Student Record/Student Information Systems (OASIS), and Personnel and Payroll (PPP); including the Slate Application System. (Required)
Skill in establishing and maintaining subject files. Ability to speak both on a one-on-one basis and in a group setting using appropriate vocabulary to provide consultation to instruct others. (Required)
