Position Description:
Provide administrative and secretarial support in the Division of Diagnostic & Surgical Sciences that involves full time and part time faculty, residents, postdoctoral students, preceptors and visiting scholars. The Division is comprised of the sections of Oral Medicine/Oral Pathology/Orofacial Pain, Oral and Maxillofacial Radiology, Oral and Maxillofacial Surgery/Dental Anesthesiology and Interdisciplinary Dentistry. This position assists the Division Administrator in maintaining academic courses and faculty support for approximately 80 courses annually. This position is heavy in use of Microsoft Office and numerous UCLA Online programs. Prepare and distribute course schedules. Monitor student rotation assignments and prepare instructional materials. Inform students of rotation requirements. Handle confidential documents appropriately. Compute sectional teaching evaluation scores and process student exams and grades. Prepare correspondence and schedules. Prepare purchasing requests and reimbursement requests. Maintain faculty credentials files and logs and assist in faculty dossier preparation. Answer telephone and other inquiries from public, faculty, students and staff. Communicate accurately and tactfully with a wide variety of persons. Take inventory and order supplies. Sort and distribute mail.
