Hall Health Center currently has an outstanding opportunity for a Director of Operations. This position has administrative responsibility for Hall Health Primary Care Center (HHC), including clinical practice support, financial management, campus affairs and strategic planning. Incumbent works in close collaboration with Executive Director, Chief Financial Officer, Chief of Clinical Services and other HHC and UW leaders to support the Health Center's mission to provide high quality, cost effective health care services to students and other members of the University of Washington (UW) campus community.
Hall Health Center on the UW Seattle Campus is an AAAHC-accredited outpatient facility providing high quality health care to a wide range of individuals. Hall Health Center has 63,000 patient visits annually. Two thirds of these visits are by undergraduate and graduate students. One third of visits are by faculty, staff, retirees and others in the greater Seattle community. The primary mission of Hall Health is to support student success by providing excellent access to high quality comprehensive care. Administration of the Clinical Practice:
• Effectively manage the staff, services and resources needed to support the clinical operations of HHC, working in collaboration with the Executive Director, Chief Financial Officer, Chief of Clinical Services and Human Resources Manager.
• Supervise the operations of the following departments, staff positions and activities: Administration Office, Health Services Manager (who oversees Nursing, Patient Services Center, Medical Assistants, Radiology), IT, Facilities and Security, Custodial Services, Immunization Verification Program, COVID-19 Vaccination Program.
Develop, maintain and communicate to all staff relevant clinical and administrative policies and procedures.
• Chair the HH monthly Operations Committee Meeting • Actively participate in key committees: Administration, Leadership Council, Seasonal Planning, Clinical Council, Huddle, Emergency Response and others as appropriate. • In collaboration with the Chief of Clinical Services, supervise policies regarding staffing and clinical practice in medical clinics. • Continually manage and coordinate with other Administrative staff members regarding HHC patient satisfaction and experience assessment and management activities • Lead the Association for Accreditation of Ambulatory Health Care (AAAHC) accreditation process and ongoing maintenance of standards including application, preparation, survey process, documentation, coordination of site visit, internal and external communications, up to date maintenance of policies & procedures, and updating of operations and policies when standards change. Ensure staff are educated of AAAHC standards and maintain current CE credit for mandatory safety trainings. • Assure liability insurance credentialing of the practice. • Participate in Risk Management and Quality Improvement Activities related to practice management and respond to customer concerns as warranted. • Maintain monthly activity reports regarding student utilization, billable activity and other operational indicators to support program decisions and budget reporting.
Collaborate with the Chief Financial Officer and Executive Director to translate monthly, quarterly and annual financial reporting into operations planning and implementation.
Oversee the preparation and presentation of the annual Services and Activities Fee Committee (SAFC) orientation and budget proposals for the operating and capital budgets.
• Maintain awareness and share information (with Director, Chiefs and Associate Directors) regarding federal, state and local regulations and laws that could have impacts on the practice; recommend steps to maintain compliance.
• Represent HH on labor union issues and negotiations.
Maintain knowledge of UWMC and School of Medicine rules and changes regarding medical staff credentialing, and communicate and implement these changes as appropriate.
• Conduct annual job performance evaluations for staff reporting directly to this position.
• Be the primary receiver of patient complaints and manage and triage as appropriate.
• Serve as privacy officer to monitor, investigate and report records access violations, HIPAA concerns other privacy issues.
• Act as primary contact for UW Med LMS and other trainings and coordinate with staff.
Campus Affairs:
Represent HHC’s participation and interest in campus affairs and help formulate policies and procedures that will support the Health Center’s mission to provide high quality, cost-effective health care services to the students and other members of the UW campus community.
• Actively participate in the planning and implementation of the Campus Emergency Response Plan.
Oversee the Immunity Verification Program (measles, mumps, meningitis).
Oversee the student COVID-19 Vaccination Program.
Serve as Administrative Liaison to UW partners: Services and Activities Fee Committee Admissions and First Year Programs Student insurance programs Others, as requested or delegated
• Administrative Liaison to other UW Departments and activities with regard to policies, procedures, budgets, funds flow, and work plans in collaboration with the Executive Director and the Chief Financial Officer. These include but are not limited to:
Student Life Environmental Health & Safety UW Medicine and UW Primary Care Clinics
Strategic Planning:
Review, adjust and develop the HHC budget in collaboration with the Chief Financial Officer and Executive Director.
Develop and review long term plans for HHC.
Participate in developing marketing and community outreach projects.
Oversee and participate in developing new programs and services.
Other Duties as Needed.
REQUIRED QUALIFICATIONS:
Bachelor’s Degree in Business or relevant field Six years progressive administrative experience or equivalent alternative experience Proven administrative, financial, organizational, supervisory and problem-solving skills. Demonstrated ability to work independently, practice continual process improvement and apply sound judgment to complex, confidential and/or highly-sensitive communication. Shown ability to lead and communicate well with staff members, teams and organizational partners. Demonstrated high ethical standards. Modeled behaviors that align with the UW Medicine Patients are First and Service Culture Guidelines.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED QUALIFICATIONS:
MBA, MHA, MPH or other Master’s Degree Health care field experience. Demonstrated success working in a collaborative management environment involving multi-disciplinary teams. Ability to analyze, prioritize and delegate responsive resources while managing multiple projects, programs and personnel. Ability to effectively align emerging initiatives, requests and demands from multiple internal and external sources. Demonstrated strong teamwork with patients and health care workers. Experience with EPIC or other electronic health record. UW work experience.
