The Associate Director for Events produces comprehensive engagement programs within University Advancement’s Office of Alumni and Stakeholder Engagement (ASE). This position works with the Senior Director for Events and Membership to design, execute and evaluate ASE programs, both individually and collaboratively, in support of the mission of the University of Washington. These programs are created to deepen affinity, foster a sense of belonging, increase engagement of alumni, volunteers, students, donors, parents, and friends of the University of Washington, and nurture lifelong relationships with the University.
The Associate Director for Events cooperates with institutional and community partners, including the affiliated non-profit UW Alumni Association and UW Retiree Association to administer events of shared interest and responsibility.
This position activates ASE/UWAA’s commitment to diversity, equity, inclusion, and belonging (DEIB) and contributes to advancing understanding and actions that are actively anti-racist. It is responsible for developing and supporting inclusive, equity-focused and co-created programs and services with historically underrepresented or marginalized UW audiences in support of the institution’s public mission.
Leadership and Team Management
•Lead and manage a team of two full-time event production specialists, including recruitment, onboarding, training, general supervision of work, professional development and performance assessment. •Manage the day-to-day operations of the Events team. •Collaborate with ASE colleagues to develop event execution plans and approaches that serve organizational and program area goals. •Collaborate with the Senior Director for Events and Membership and the Directors for Marketing and Communication to develop and continually improve systems and processes for centralizing event production. •Manage and develop a team that creates, designs and executes events that develop and strengthen engagement and participation among alumni, students, volunteers, parents, donors and friends of the University. •Represent the Engagement Programs team with campus and community partners and coordinate the support, resources, and roles of these partners as they pertain to ASE, UWAA, UWRA, and UW Impact events. •Effectively manage Events Team workflow and workload in order to implement multiple, simultaneous, and complex events and programs throughout the year. •Establish and nurture productive relationships with senior campus administrators, alumni volunteers, and University donors that are involved with or in attendance at ASE-sponsored events.
Program Development and Execution
•Develop, plan and execute approximately 50 engagement events each year in partnership with Events Team members and ASE Marketing/Communications and Engagement Team colleagues that are responsive to the needs and interests of our constituents, foster a sense of belonging, and reflect the University’s commitment to diversity, equity and inclusion. •Provide oversight for all events undertaken by the Events Team. •Serve as Event Lead in planning, design and execution for various signature alumni and community engagement events, including but not limited to Washington Warm Up football away-game tailgate events, bowl-related alumni football events, Alaska Airlines Dawg Dash 5k/10k run, and other events with significant complexity. •Plan and execute other ASE-sponsored events as needed to ensure balanced workload among Events Team members. •Work collaboratively within ASE and with University partners to develop and execute events across Washington state and in key regional markets in alignment with goals established by ASE Marketing and Engagement Teams and University Regional Advancement. •Collaborate with and lead colleagues, campus, and community partners in the process of planning and executing programs. •Recruit and deploy volunteers including alumni volunteers, University donors, statewide ambassadors and UWAA Trustees in support of ASE-sponsored events. •Hire and oversee contract vendors as appropriate. Oversee and approve specification for bids and cost estimates as provided by the Event Team members. •Assess and evaluate events produced by the Events Team. Develop systems and processes for soliciting, evaluating, and reporting on event attendee feedback. •Independently prepare and monitor individual event budgets ranging from $500 - $100,000. •Manage the operational budget for the Events Team with discretionary authority. •Oversee the purchase and organization of ASE event supplies and equipment.

Bachelor's degree in Marketing, Communications, Public Relations or Event (Restaurant and Hospitality Management) or related field and three years’ experience in event planning, catering, public relations, project management or related field.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
•Experience and established philosophy of supervision and management of staff and volunteers including plans for training, retention, professional development, successful communication, and expectation setting. •Experience working with high-level administrators, corporate executives, and professionals. •Proficiency using PC computers. Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc.
•Experience in higher education, non-profits, or other area with significant engagement-focused event portfolio.
•Cubicle/Open workspace environment which may result in additional or higher levels of noise and visual distractions. •Ability to work evening and weekend hours, as necessary, periodically on short or limited notice. •Regular and reliable transportation for local travel and willing to travel when necessary. •A valid Washington State driver’s license is required to operate the UW Alumni Association Van. Candidate selected must have personal transportation and be willing to travel when necessary. •Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down. •Ability to travel out-of-state up to 10 times per year for events scheduled on evenings and weekends During Events (from setup to tear down) or on Event days: •Ability to stand 4 or more hours continuously. •Ability to walk 4 or more hours continuously. •Ability Standing: duration of 4+ hours for events. •Ability to work greater than a 10 hour day.
