Residential & Dining Enterprises (R&DE), the largest auxiliary organization at Stanford University, supports the academic mission of the University by providing high-quality services to students and other members of the university community. The department has an annual operating budget of over $350M, operates 24/7/365, and oversees a $3B asset portfolio comprising a 7 million sq. ft. physical plant across the campus. In autumn quarter of the 2021-22 academic year, R&DE will return to providing housing for over 13,000 students and dependents, serving meals at 17 dining halls, 12 retail locations, and operating athletic concessions and conference operations. Additionally, R&DE comprises 900 FTE staff in the following divisions: Student Housing Operations, Stanford Dining, Stanford Hospitality & Auxiliaries, Stanford Conferences, Maintenance Operations and Capital Projects, and a team of R&DE strategic business partners: Finance & Administration, Information Technology, Human Resources, and Strategic Communications.

The Office Manager is responsible for organizing the administrative activities of the R&DE Student Housing Assignments Office. R&DE Student Housing Assignments oversees housing assignment and contract creation for approximately 14,000 Stanford students, their spouses, and children. R&DE Student Housing Assignments is comprised of 5 managers, 5 Student Service Officers, 2 Housing Assignment Specialists, the Office Manager, and the Director of Housing Assignments. CORE DUTIES
Act as office manager and independently implement, administer, and evaluate day -to-day activities of R&DE Student Housing Assignments Office. Serve as key contact for administrative functions for the office.
Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/ or recommendations to achieve the goals of R&DE Student Housing Assignments and R&DE Student Housing Operations.
Analyze and interpret policies; develop, revise and implement procedures for program or function. Maintain records as required to meet university protocols.
Represent R&DE Student Housing Assignments to other university constituents and outside constituencies, such as vendors.
Organize and/ or participate in outreach activities that may include communications, events, training, and/ or conferences. May participate in development of budgets or oversee budgets and monitor and approve expenditures. Manage department purchase card and travel card according to university policies, including all aspects of reconciliation.
May direct temporary staff to perform various tasks and assignments. May also supervise temporary or student staff.
Provide administrative support for five Housing Assignment managers and the Director of Housing Assignments
Assist R&DE Student Housing Operations Executive Assistant and Housing operations Coordinator as requested.
Provide administrative oversight for Housing Assignments Office (e.g. supply ordering, conference room scheduling, and event planning, building manager duties, monitoring and logging staff time-off requests, etc.)
Arrange for travel for housing assignment and housing operations professional staff.
Maintain Student Housing Operations vehicle log and assist in fleet maintenance.
Oversee hiring of temporary and/ or student summer staff members
Other duties as assigned.
Education and Experience
Bachelor's degree and three years relevant experience, or combination of education and relevant experience
Knowledge, Skills, and Abilities

Demonstrated ability to take initiative and ownership of projects
Ability to communicate effectively both orally and in writing

Certifications and Licenses:
Requires valid California State Driver's License
Constantly perform desk-based computer tasks.
Frequently stand/ walk, sitting, grasp lightly/ fine manipulation
Occasionally use a telephone
Rarely lift/ carry/ push/ pull objects that weight 11-20 pounds.
