Although this position reports to the Chief of Staff, the primary function is to provide high-level support and advice to the Vice Chancellor for Health Sciences and other Health Sciences managers, as well as frequent interactions with senior management, faculty, community members, and university personnel at all levels. The incumbent provides high-level professional administrative support on a wide variety of complex and sensitive issues, which requires tact, diplomacy, and discretion. The position serves as a liaison to Health Sciences departments, Health System offices, and central campus departments. As a key member of the Vice Chancellor's team responsible for managing the Vice Chancellor's complex schedule, the Special Assistant must have extensive experience supporting a high-level executive and sufficient skills to make independent decisions related to the office's administrative operations.
The Special Assistant ensures the Vice Chancellor is prepared for meetings; manages the Vice Chancellor's calendar, travel logistics, and reimbursements; and ensures compliance with policies and procedures, including annual reporting requirements. The incumbent resolves operational problems without direct involvement, escalating issues as appropriate, and participates in major initiatives led by the Vice Chancellor's Office that cross all areas of the Health Sciences, including fundraising, leadership recruitment, and research/industry partnerships.
Nine (9) years of related experience, education/training, OR a Bachelor's degree in related area plus five (5) years of related experience/training.
Advanced experience serving as a primary liaison for a senior executive in an academic institution, interfacing with senior leaders as well as all levels of personnel. Advanced experience serving as representative for an executive in regards to interactions with the community, VIP/donors, and campus-related meetings/briefing/committees.
Advanced experience providing high-level management support and advice to high level Executives or Vice Chancellor/ Dean, preferably in an academic medical center, on a wide range of issues associated with complex problems of a highly confidential and extremely sensitive nature.
Thorough knowledge of federal regulations such as FERPA.
Intermediate to advanced knowledge of common organization-specific computer applications. Experience with a variety of administrative software.
Strong analytical/problem-solving skills. Strong skills to analyze quickly and produce results/synopses of professional documents of high caliber.
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
Proven skills to communicate and influence effectively with all levels of staff, faculty, alumni/donors, students and external constituents, both verbally and in writing.
Strong skills to communicate clearly and effectively in person, on the phone and in writing. Superior English grammar and spelling skills.
Advanced knowledge of governance of academic institution, instructional and research programs.
Demonstrated ability to be meticulous about details required to complete assignments properly.
Excellent interpersonal skills, including tact, diplomacy, flexibility, professionalism and hospitality with fellow workers, faculty and visitors.
Experience and proven ability to function at a high administrative level and represent the University's best interests at all times.
Understanding of UC San Diego and UCOP organizational structures, departments and units, and communication channels.
Knowledge of biomedical education systems and graduate medical education.
