Director of Materials Management

The Materials Management Director plans and organizes the functions of the Materials Management Department in the Medical Center to ensure services are provided within the Medical Center mission statement and strategic plan.

DUTIES:

• Participates in long-range planning of the Medical Center to contribute expertise in the areas of the supply chain.
• Ensures the Department develops and achieves goals and objectives that are congruent with the Medical Center’s long range plan and mission statement.
• Monitors and maintains all Materials Management operations in line with the Medical Center’s goals and regulatory requirements.
• Ensures Materials Management policies, procedures and systems support the Medical Center’s goals and regulatory requirements.
• Responds to changes in Materials Management regulations and their impact on the Medical Center as indicated by recommendations to the Administration and Administrative staff on mechanisms necessary to remain in compliance.
• Conducts annual review and revisions of job descriptions to ensure they reflect the actual responsibilities of the employees and meet State and Federal requirements.
• Maintains the performance appraisal program, ensuring that Materials Management employees receive at least an annual review that is fair, consistent and reflects their performance.
• Develops the Materials Management budget and monitors expenditure of dollars in purchases and inventory, personnel, space, equipment and time, to meet objectives.
• Ensures that any and all purchasing contracts available to the Medical Center through the University of Colorado Health/Vizient Group Purchase Organization Affiliation Agreement are utilized to the fullest when making purchases, whether capital or general.
• Provides consultation to other Medical Center Departments on any Materials Management aspects of their budget development.
• Ensures that a high quality of service is provided by the Materials Management Department.
• Monitors the satisfaction level of users of Materials Management, taking steps to correct any problem or complaints.
• Maintains effective working relationships with members of the medical staff and management.
• Provides accurate and current consultation to the Chief Financial Officer and Administrative Staff on any and all issues relating to the operation of the Materials Management Department.
• Provides for accurate routing and special request reports on the status of Materials Management in order to facilitate the development and implementation of policies.
• Keeps the Chief Financial Officer consistently informed of changes and trends as it relates to Materials Management within the Medical Center.
• Maintains department staff levels of expertise through on going coaching, in-service education, on-the-job training and evaluation.
• Maintains adequate operation levels of supplies and coordinates timely supply distribution.
• Maintains a high degree of managerial competence through continued education or participation in seminars, conventions and institutes as well as field trips to other institutions.
• Communicating by phone or in person with Medical Center departments or outside vendors.
• Reviewing catalogs, price lists, inventory, records, files and product/vendor files.
• Clearing vendors for contact with Medical Center departments.
• Obtaining prices, quotes and other product information for user departments.
• Reviewing back order files and expediting.
• Coordinating product returns, verifying packing slips against purchase orders for authorization of inside payment.
• Ordering stock, non-stock supplies and following up until the items are received, accepted and paid for.
• Working with vendors to ensure feasible and acceptable delivery dates when possible.
• Participating in committees as assigned.
• Performing in accordance with all local, state, and federal laws and regulatory agency standards.
• Performing in accordance with EPH vision, mission and goals.
