To provide varied administrative support for the department of Educational Leadership and Policy Studies. Responsible for a variety of administrative duties in a department requiring moderate exercise of independent judgment, initiative and ability to make decisions relative to office operations. Responsible for financial and administrative services for the on-campus and online faculty and the Chair of the department.
Relieves administrator of a wide variety of internal administrative duties and a large volume of decisions, which require a thorough understanding of the functions, programs, and policies of the University. Includes using UT Share and My Mav (peoplesoft). Performs various administrative duties including, but not limited to: answer telephones, schedule and coordinate meetings, compose letters, email, and other correspondence; manage calendars, process travel, create and maintain contact and distribution lists; organize and maintain office filing for confidential and sensitive correspondence. Includes using Microsoft Outlook, Excel, and Word. Prepares departmental records, including monthly financial statements. Purchases office supplies through Mav e-Shop and pays invoices for the department, creates purchase orders, transfer of funds and other departmental expenditures. Advises students and departments on administrative questions. Determines or adjusts work procedures to meet objectives. Acts as liaison with other departments in the College and University. Completes new hire procedures for adjunct faculty and full-time faculty. Enters faculty as Instructors in My Mav. Schedules classrooms. Assist department chair and the Dean's Office with special projects (analyzing data, producing reports, researching university policies and procedures, etc.) Assist faculty with grants and university accounts management (provide monthly balances of accounts, and produce simplified financial statements). Other duties as assigned including cross-training of tasks with staff from across the College.
Bachelor’s degree. One (1) year of upper level secretarial experience or high school with five (5) years of increasingly responsible administrative, secretarial and clerical experience or the equivalent experience. Knowledge of Microsoft Office (Outlook, Excel, Word, PowerPoint).
