The Operations Leadership Team (OLT) Administrative Assistant works in support of the Executive Director (ED)fvgbhyujn7, UCOP Operations and the OLT, reporting directly to the Executive Director, UCOP Operations. This position provides administrative support including: scheduling for ED Ops, the OLT, the Program Director and the Project Manager, Operational Services, and frequent interaction with Admin Assts of UCOP senior leaders. The position also provides meeting support, general coordination support, and plays an important role in keeping the fast-paced Operations department and Operational Services projects running smoothly. The Administrative Assistant acts as a gatekeeper and coordinator and will have regular interaction with managers and supervisors.
The administrative assistant will work with a high degree of service focus, professionalism, and discretion supporting a team which has significant operations and project responsibilities and requires support in ensuring smooth flow of scheduling, logistics, and operations. The incumbent should demonstrate the ability to use good judgment, propose solutions, work independently. The position requires a high level of client service focus, dependability, accuracy, timeliness, and initiative.

Functions as gatekeeper and manages the schedules for Exec. Dir. Operations, OLT, and Program Director and Project Manager Operational Effectiveness including scheduling meetings, coordinating with other administrative and executive assistants, resolving scheduling conflicts, understanding scheduling priorities, and booking meeting rooms, and managing calendars in a manner that supports the most effective and efficient use of the team members' time.
Job Requirements High school diploma or equivalent experience.
Minimum of five years of experience providing administrative support for high level executive in fast-paced environment. Experience in managing multiple calendars, travel arrangements, and planning meetings. Ability to handle shifting priorities and multi-task with an understanding of team priorities and goals.
Proven organizational skills to coordinate large workload under persistent time constraints. High level of accuracy and reliability. Proficient in Microsoft Office Suite including ability to gather, organize, and effectively develop and edit documents in MS Word and MS PowerPoint. Ability to develop spreadsheets with proficiency in formatting and use of standard formulas and formatting (expert level in MS Excel NOT required). Familiarity with Zoom web-conferencing. Experience with Visio, ProMapp, and SmartSheet preferred. Required
