The Human Resources Associate (HRA) reports to the Director, Human Resources for the Graduate School of Business (GSB). The primary responsibility of this position is to work with the HR team and hiring managers to oversee and coordinate the hiring of temporary staff to the School. The HRA will act as a resource and first point of contact on most HR issues related to our contingent workforce.
Additionally, this position will serve as a back-up to our two-person HRA team that provides administrative support for the ~500 staff across the school. In addition to interacting with the local HR and management teams, the HRA will interface with University contacts. This person also provides transactional management and interfaces with the University HR Transactions (HRT) team and provides a wide range of support to the Director, HR and Associate HR Directors (HRMs). This is a 75% FTE position. Your primary responsibilities include:
Contingent Employment and Staffing
Oversee and coordinate the GSB temporary staff hiring process including:
Support hiring manager in executing contingent workforce planning needs, including troubleshooting any University / vendor issues.
Will typically resolve issues directly or in partnership with HRAs or University counterparts, and take direction from Director, HR and Associate HR Directors (HRMs) on complex and/or high-risk issues.
Review approved temporary staff hiring forms for accuracy and completeness.
Initiate background check process through HireRight platform and monitor for potential onboarding delays.
Process/submit forms to University HR Transactions for enrollment in the UHR Payroll Service, requesting employee ID and entering labor distribution codes for employee paychecks.
Provide hiring manager pre-employment and onboarding updates to ensure coordination with department / project planning.
Onboard new employee subsequent to issuance and acknowledgement of Assignment Letter and related employment documents.
Monitor timecards for accuracy and completeness before each pay period deadline, providing employee and/or supervisor consultation as needed.
Run reports after every pay period to monitor total hours worked per employee per department, ensuring accurate allocation per Finance budget codes.
Actively track assignment end dates and notify department manager if administrative terminations or extensions will occur to avoid any disruptions; process re-hires as required.
Maintain personnel file folders on each employee and upload soft-copies to HR shared drive.
Additional responsibilities may include: General HR Support
Serve as time and leave administrator (TLA) for exempt and non-exempttimecards, making necessary corrections.
Posting and staffing administration related to staff positions.
Provide staff related communications / updates (departures, new hires, etc.).
Support staff engagement events and communication efforts.
Contribute to maintaining the GSB HR website.
Participate in department collaboration and process improvement efforts.
Act as the back-up for the preparation of scheduled and ad hoc reports.
Submit and process related expense reports.
Be flexible to complete any other additional assigned duties.
To be successful in this position, you will bring:
Associate degree and two years of relevant experience, or a combination of education and relevant experience.
Strong attention to detail and accuracy.
Proven customer service orientation and keen ability to anticipate and expediently resolve issues with hiring managers / employees.
Ability to learn and apply general human resources policies using problem solving skills.
Demonstrated ability to maintain confidentiality and effectively handle highly sensitive and personal information with sound judgment, tact, and discretion.
Ability to consistently follow through with assignments and meet deadlines.
Excellent oral and written communication skills.
Strong computer skills, including Microsoft Office suite (Outlook, Word, Excel, and PowerPoint). Familiarity with human resource management systems, such as PeopleSoft, Oracle, and time/leave systems. Experience using email and internet.
