Job Summary This position will work within the Office of Sponsored Research (OSR) to provide support to the campus related to grant proposal submissions to the National Science Foundation, the Space Telescope Science Institute and Jet Propulsion Laboratory (JPL). Duties will include responding to campus inquiries regarding funding opportunities, submitting proposals, processing awards, setting up accounts in the financial system, setting up new customers/sponsors in the financial system, assisting with post-award administrative issues, and closing out award files after the project has ended.
Job Duties - Reviews grant proposals for submission to research funding agencies (sponsors) that use simplified proposal and award policies and procedures. Reviews proposals for accuracy and adherence to Institute and agency policies and requirements - Assists with proposals to JPL using the JPL/Caltech internal system (IAMS) and award process as assigned - Accepts and processes awards, including reviewing sponsor terms, setting up the award accounts, and preparing and distributing award summaries - Interprets and communicates sponsor and Caltech research administration policies and procedures to the campus - Interacts with funding agency to resolve simple pre-award issues related to budget and award terms - Assists with post-award administrative issues. This includes monitoring for substantive changes in a project's scope of work and/or budget, obtaining prior approvals from sponsors, as required, and requesting no-cost extensions. Contacts funding agency for approvals or modifications to award as required - Contacts campus investigators and campus units in order to obtain and submit close-out reports required under the terms and conditions of awards administered by OSR - Leads and coordinates the review of award/proposal files for close-out and storage. With assistance from the OSR Department Assistant, maintains storage data base which includes reviewing the files for purging and sending to off-campus storage annually and reporting status to supervisor - Provides back-up to the Department Assistant by responding to telephone and email inquiries; monitoring OSR email boxes for receipt of awards and notices; and data entry of proposal, award, modifications, and amendment information - Performs other tasks as assigned
Basic Qualifications - High School Diploma required - Must be computer competent with PCs using MS Word and Excel - Must have at least 1 year experience with data entry and electronic document storage systems (for example, document scanners/copiers)
Preferred Qualifications - College degree or equivalent, plus a minimum of 2 years of experience preferably in a research administration environment - Oracle and/or Caltech experience preferred. Ability to work independently with minimal supervision is desired
