Ambulatory Access Services is a centralized referral scheduling department for OHSU clinics.
This position is responsible for new patient scheduling and coordination related to Knight Cancer Institute patients within OHSU Ambulatory AccessServices. The incumbent will coordinate new patient scheduling from the point of initial contact through appointment creation.S/He will be responsible to collect all required information including external medical records and identifying insurance information.S/he will be responsible for ensuring that the patient is scheduled accurately and all external records regarding the patients current disease are accurate, complete, and available in the provided guidelines.
The incumbent has extensive knowledge of scheduling processes in the ambulatory setting. S/he is knowledgeable about the Epic system and current best practice referral workflows.This position will spend 95% of their time on phones and/or other types of communication including email. This position requires high level attention to detail while providing the highest level of service to our patients, clinical team, and colleagues
New Patient Scheduling
Receive incoming phone calls via the Knight Cancer Intake Center Automated Call Distributor (ACD). Assess the patients needs based on diagnosis, insurance coverage or lack thereof, and previous treatments.
Refer to the Knight Cancer Diagnosis Matrix to determine appropriate provider for patient to see.
Based on Financial status of patient and if they are insured, determine if they are eligible to have an appointment scheduled or if they first need to go through financial screening.
Schedule/hold appointments for patient documenting all necessary information.
Triage information to the appropriate clinical parties via In-basket.
Communicate with other departments and referring provider practices to achieve optimal care coordination for medical or financially fragile patients
Based upon the diagnosis of the patient scheduled and using the Knight Cancer Institute matrix, initiate checklist of proper records and facilities to call to obtain.
Obtain list of all previous relevant healthcare providers for each new patient that will be needed prior to initial visit.
Regularly review and recommend updates to the Knight Cancer Diagnosis scheduling and records Matrix. Ensure accuracy of disease, provider and record requirements.
Other duties as assigned
At all times must exemplify high quality customer service to both external customers as well as internal customers that meets or exceeds the service standards as set by OHSU. This duty includes prompt and professional communication efforts, high level conflict resolution, flexible coverage of internal service needs, continuous application of process improvement methods and skills, crisis management, & developing a standard complaint process for process improvement.
High school diploma or equivalent
At least one year of experience in a medical office setting, including high-volume scheduling of appointments, multi-line phone system and medical terminology.
The candidate must have a thorough knowledge of patient scheduling and referral processes in EPIC or other EHR system.
Experience working with electronic medical records.
Advanced computer skills, includingAdobe, MS Word, Excel, OHSU Epix skills and online resource use knowledge.
Excellent communication skills, both written and verbal
Must meet Department performance standards measuring efficiency, production, timeliness and accuracy. This will be reviewed on a regular basis both as a team and as an individual.
Ability to multi-task in a high volume situation.
Strong attention to detail and processes
Ability to work autonomously, with a high level of accuracy, speed and exhibit a willingness to work with deadlines.
Must be able to perform the essential functions of the position with or without accommodation
Bachelors degree in related field.
Previous Oncology experience.
2 years of recent experience as a PASR at OHSU.
This position is located in Downtown Portland.
Must be able to share office space with other coworkers and able to multi-task in a high-volume environment
Must be able to work on phones for up to 95% of their day.
This position may be eligible for telecommuting once training and probationary periods are met.
