The Graduate Admissions Intake Specialist will support Graduate Admissions through supporting the admission evaluation process for masters, doctoral, and graduate certificate applications to the university. Primary duties will include coordinating the scanning and intake of various admissions documents, sorting, organizing and routing documents according to appropriate workflows, responding to inquiries and requests for status updates on applications, verifying required official documents, notifying graduate applicants of any changes in the applicant's files and inputting all pertinent information into the Student Information System (SIS) databases (Banner, OnBase, CollegeNET, and Slate). This position will provide specialized expertise in researching and understanding the Banner, OnBase, CollegeNET and Slate systems to correctly determine proper indexing and routing of documents.
Employees in this position will have regular contact in person, by telephone and in writing with institution faculty, staff, students, outside agencies and the general public verifying document intake and requirements; collecting needed information to compile regular and special reports or complete technical records processing activities; providing requested information of a specific nature when responding to inquiries and complaints.
This position will report to the Director Graduate Admissions in the Graduate School. As a representative of Portland State University, it is important to represent, promote and portray all programs in a professional and positive manner.
Training or experience with document scanning and imaging including scanning and indexing of documents AND data entry, word processing, or other document creation.
