ResponsibilitiesThe Personnel & Training Administrative Assistant III is responsible for key analytical support to the Human Resources Manager. Acts as a key contact for clients by providing daily support in the areas of payroll, personnel and salary actions. Works closely with the Human Resources Manager, CAO, MSO and Research Manager to manage all aspects of each faculty and academic employee appointments and pay transactions as well as serving as a key resource for interpreting UC policies and make recommendations for action. Provides high-level support for the psychiatry training office, which supports six graduate training programs programs, encompassing residencies in general psychiatry, child and adolescent psychiatry, combined internal medicine/psychiatry, and family practice/psychiatry, and fellowships in forensic psychiatry and psychosomatic medicine. Additionally, the program oversees a post-doctoral internship in clinical psychology and all medical student educational activities related to psychiatry. In all, the training office oversees roughly 55 trainees annually rotating at up to 29 different training sites. Support of this office includes didactic schedules, management of clinical skills evaluation exams, general residency and psychology post-doctoral training recruitment process, and support to the Vice Chair of Education/ Residency Training Director. The assistant serves as the main Departmental contact, answering a variety of questions from the public and other University departments and offices requiring knowledge of intra- and interdepartmental functions; and is responsible for incoming and outgoing mail. Required Qualifications
Work experience in HR/Personnel Support (preferably in academic setting)
Demonstrated experience using HR and payroll systems
Proficiency with Microsoft packages such as Excel, Outlook, and electronic calendaring/ e-mail software
Excellent verbal and written communication skills with an excellent working knowledge of English grammar, punctuation, spelling and proofreading skills
Experience coordinating and organizing a high volume of record files efficiently
Successful track record of regularly using judgment and discretion to solve operational problems
Excellent interpersonal skills including tact, diplomacy and flexibility to effectively deal with faculty, physicians, staff and trainees
Knowledge of payroll practices
Excellent customer service skills
Working knowledge of applicable University policies and procedures
Comprehensive knowledge of University Academic Personnel Policies and Procedures
Experience maintaining CV/dossiers utilizing MyInfoVault data base
Experience with Med Hub -Experience managing medical staff processes
