Association Management division within a marketing company in Carrollton, TX seeks a full-time Association Coordinator - Meetings. The Association Coordinator - Meetings functions as the coordinator for day-to-day administrative responsibilities, conference registration, and housing for all meetings and events. Attention to detail, flexibility, and the ability to work effectively with a small team are essential. The ideal candidate is high energy, professional, articulate, positive, responsible, dependable and self-motivated. Association experience and excellent communication skills are necessary. This position reports to the Senior Association Manager - Meetings.
Responsible for the day-to-day tasks for conference registrations
Works with the Senior Association Manager in coordinating transportation and other logistical components, including schedules, F&B, A/V, and etc.
Assists the Senior Association Manager to ensure program information on conference website is current and correct
Responds to members’ questions in a prompt, accurate, friendly, and professional manner
Maintains organized and complete records
This job will require the candidate to work irregular hours, including occasional weekends, depending on work-load and conference schedule
Ability to demonstrate a solid understanding of the meetings & conventions industry
Strong desire to learn and grow professionally
Provide high quality customer service both externally and internally; an unparalleled commitment to member service
Extremely well-organized and exceptionally detail-oriented
Ability to successfully adapt to a fast-paced and professional environment
High energy – The physical demands of this position requires one to frequently walk briskly, stand for long periods of time, stoop, crouch, kneel, and lift objects up to 25 pounds
Able to meet deadlines and handle related pressure
Excellent communication skills, both oral and written
Proficiency with Microsoft applications (Word, Excel, PowerPoint) and database experience is a plus
Dependable and punctual
Must be able to travel occasionally including events and annual tradeshow
Minimum one to two years’ experience in meeting planning, association environment, and customer service.
Computer literacy, including efficiency in MS Office Suite. Database experience a plus.
