The Department of Pharmaceutics has an outstanding opportunity for a Grants and Contracts Manager/Specialist. The Department of Pharmaceutics Grants and Contracts Manager oversees and is responsible for pre and post award administration for Pharmaceutics department. The GCM works directly with the Administrator and the Department Chair and provides research management expertise, review and execution of grants, contracts and subcontracts. The GCM serves as the administrative liaison with multiple internal and external partners including offices and departments within the University of Washington and external collaborating partners, sponsoring agencies and the National Institutes of Health.Fiscal Operations and Long Term PlanningPre-Award administrationManages the preparation and submission of grant and contract proposals. Serves as an expert for proposals preparation and responds to questions from PI's related to formatting, sponsor and institutional guidelines. Works with the PI's to develop budgets for grants and contracts. Advises on sponsor guidelines and budget restrictions. Completes budget and proposal materials in SAGE and transmits eGC1's for approvals. Assess opportunities to enhance the grants production and management process by eliminating bottlenecks, streamline processes, improve efficiencies. Oversees the related proposal work of the group's fiscal and other support personnel during the preparation of grant and contract proposals. Submits final proposal documents to OSP and/or sponsoring agencies within prescribed deadlines. This responsibility would require knowledge and use of Workday, MyFD, Grant Tracker, Grant Runner, SAGE, ERA Commons, and other UW and sponsoring agency systems. Ability to grasp quickly requirements posted in solicitation announcements and apply them correctly to the proposals is of utmost importance.Manages, prepares and submits grant renewals within prescribed deadlines. Prepares complex budget, other support, publications and other reports. Utilizes ERACommons/RPPR, SAGE and other administrative systems related to the submission of progress reports. Monitors renewal dates.Communicates with OSP, GCA and sponsor representatives on a regular basis to respond to inquiries related to the grant proposals and/or established budgets; responds to funding inquiries; advises on questions related to funding allocations for the research group.Post Award AdministrationProvides planning, budgeting and accounting functions, applying appropriate stewardship of available funding streams. Manages budgets to assure compliance with the University, State and Federal requirements. Prepares and maintains administrative and business reports and records for the group according to department standards.Develops and manages an accounting system following departmental standards for generating monthly budget reports to satisfy requirements of sponsoring agencies, institution, and investigators for planning, budgeting, auditing and oversight purposes.Monitors budget balances and appropriates/approves expenditure transactions for the various projects. Assures spending compliance with grant and UW policies. Assures that a zero positive balance is maintained in each account to prevent deficit at budget closures.Provides guidance and counsel to faculty and staff related to the overall financial state of their respective research group to help facilitate scientific and educational goals. Provides advice on pre and post award federal, state and UW policies and regulations.Oversee month end reconciliation on Procurement charges to department credit card holders. Make sure appropriate budget are charged and object/sub-object codes are applied to every transaction. Print and authenticate month end reporting with department credit card holders. Appropriates salary distributions for personnel based on budgetary projections and projects requirements while maintaining positive fiscal balances. Consults with PI's on a regular basis to assure correct appropriations are reflected in payroll and at the same time are consistent with sponsor-negotiated terms and conditions. Processes OSETS/salary transfers accordingly.Conducts leave record audits on a portion of the departmental timesheetsCompliance and Risk ManagementPromote compliance and risk management in accordance with policies of the University of Washington and sponsoring entities, most importantly, the NIHInterpret, analyze and implement federal, state, institutional and industry laws and policies as they apply to Pharmaceutics department operations. Integrate knowledge of compliance policies into operations and under the direction of the Administrator, guide full implementation of applicable policies.Continually monitor and assess the Division's compliance around research and fiscal processes, troubleshooting and eliminating weakness areas and improving systems to strengthen the stability of the research enterprise.LeadershipDevelop and implement effective communications and workflow processes for grant production and post awards grant managementEstablish effective collegial working relationships with internal and external process partners and sponsors to facilitate work processesProvide guidance and mentorship for faculty and staff to enhance understanding around preaward and postaward process and systemsOther duties as assignedAs a UW employee, you will enjoy generous benefits and work/life programs.
