The ERP Administrator is responsible for the overall system maintenance and on-going support for all software applications within the university’s technology landscape. This includes performing analysis, diagnostics, development, testing, and documentation of the ERP and other software applications requested for implementation or currently in use throughout the university. This individual is also responsible for supporting and maintaining application environments and their performance, availability, capacity, and security for the university, departments, and end-users. This position reports directly to the Application Systems Manager.
Monitors systems for performance, availability, and capacity limits and addresses concerns and issues that arise to promote stable and efficient environments.
Works with team members to proactively diagnose and formulate corrective action plans, as necessary.
Recommends and installs systems updates, enhancements, patches, services packs, and hot fixes.
Communicates the effects of those updates to the campus community; maintains logs of all updates performed.
Coordinates software testing with functional areas ensuring all testing and documentation is completed after updates are installed.
Ensures all applications are deployed, upgraded, and administered to compatible version levels.
Partners with developers, systems analysts, and end-users to ensure successful implementation of software installations and upgrades.
Ensures the integrity of the ERP system (Colleague) including data integrity when developing, maintaining, or configuring applications.
Manages audit logs, change requests, problem resolutions, and other documentation according to audit requirements and internal policy. • Initiates and develops incident reports following any reported issue or outage.
Identifies documentation gaps and opportunities for improvement and makes recommendations for remediation.
Uses information gathered from monitoring activities to propose new standards and best practices that will promote system improvements.
Collaborates with end-users and other team members to evaluate, plan, design, develop, test, implement, and maintain systems.
Administers and maintains the application security, user setup, role privilege definitions, security groups, and security definitions.
Prepares configuration test plans, test scripts, roll-back plans, and summary reports.
Performs cloning of production (live) environments to test environments when schedule or requested.
Provides back-up support for SQL Server and Business Objects Administration tasks (maintenance plans (SQL Server), Universe creation/maintenance (BO), and database management).
Provides back-up support for the configuration and maintenance of connectivity interfaces and technologies with hosted solutions (Ellucian Cloud, Colleague Web API, (S)FTP, third-party interface solutions).
System Analysis and Support
Performs day-to-day support of campus applications and systems, analyzes and diagnoses system problems, works with end-users to resolve problems, and suggests best practices and optimized processes.
Troubleshoots issues related to the university portal which include troubleshooting student billing (TouchNet), online services (Ellucian Web Advisor/Colleague Self-Service), and access or permissions issues.
Develops and delivers end-user training including navigating the ERP system, requesting permissions/securities, and maximizing the usage of the application support sites.
Provides back-up support for the student account creation process in the absence of the Application Support Analyst, or to assist during busy times.
Participates in project requirements gathering, analysis, and design meetings and collaborative sessions to determine feasibility, provide solution recommendations, and make time and effort estimations for new project requests.
Supports assigned projects through all phases of the project lifecycle (Initiating, Planning, Executing, Monitoring & Controlling, and Closing).
Adheres to Change Management principles when responding to requests, performing project change tasks, and completing tasks involving existing products.
Tracks, updates, and communicates the status of all tasks assigned to or initiated in area of responsibility in accordance with departmental Service Level Agreements (SLAs), standards, and procedures.
Participates in team status meetings, training events, and collaborative work sessions.
Stays informed of and adheres to all university, staff, and departmental policies.
Maintains technical knowledge and strives for continual enhancement of skillset through research and application of industry-leading technology directly related to the role.
Reads technical manuals and journals and subscribes to internet list servers and support forums to stay informed on all future upgrades and changes to the application environments.
Maintains a working knowledge of the ERP system, database, and sub-system component hardware and software providers.
Performs other duties as assigned.
Two (2) years of IT application support experience.
Bachelor’s Degree in Computer Science or other related discipline.
EQUIVALENCY – Combination of post-high school education, job-related certification(s), and/or other related experience equivalent to five (5) years may be considered in lieu of minimum requirements.
Technical knowledge of Ellucian Colleague or similar ERP system (preferably in higher education).
Experience with ERP administrative functions such as cloning and system maintenance.
Familiarity with network and application security best practices.
Familiarity with MS Windows Server, PowerShell, SQL Server administration, and Internet Information Services (IIS) administration.
Strong organizational, time management, and relationship management skills.
Self-starter, able to work independently, with a strong ability to follow through and maintain focus on tasks and deliverables.

Skills & Abilities:
Experience with higher education business processes and best practices in critical areas such as Admissions, Registrar, Financial Aid, Human Resources (HR), and Finance.
Knowledge of Microsoft CRM Dynamics administration.
Knowledge of relational databases and SQL.
Knowledge of authentication protocols and single sign-on technologies (AD/LDAP preferred).
Familiarity with programming languages and scripting tasks (SQL, HTML, CSS, Powershell).
