Under the general supervision of the Associate Director of Operations, the Operations Assistant provides primary operational support to the Arroyo Vista Housing Office. The Operations Assistant is responsible for the administration of all aspects of the electronic lock/key system including all hardware and software. This role also includes management of all hard keys.The position includes heavy client relations with a diverse group of students, faculty, campus guests, and staff. Key responsibilities include representing the unit in the Disaster Preparation, Emergency Response, and Business Continuity Plan committees and drills; developing relationships with key vendors and campus partners to ensure a high level of service and fiscal stewardship. Other responsibilities include generating reports based on audits of keys and their usage, proactively initiating changes in procedure to improve security of the community and service to students. Manages all Arroyo Vistas social media accounts, notifications, signage development and press releases.Various other duties include filing, assisting students and staff with issues related to the electronic key/lock system, and various administrative tasks including: working with vendors and campus departments to secure purchases and services, processing work orders and Facilities Management requests, answering phones, taking meeting minutes, and photo copying. The Administrative Assistant is required to use effective problem-solving, decision-making, and interpersonal communication skills in the discharge of their duties. Identifies systems problems and engages in collaborative problem-solving process. Must be able to respond to changing priorities while working in a dynamic environment. Ability to work collaboratively and independently on multiple projects, set priorities and organize tasks, effectively use MS Office suite (Word, Excel, PowerPoint, Access, Publisher, Outlook), in addition to an advanced understanding of office operations and functions.The University of California, Irvine is an Equal Opportunity/Affirmative Action Employer advancing inclusive excellence.
