Academic Administration is responsible for the life cycle of personnel actions for faculty, physicians, academics, and scholars for UC San Diego Health Sciences. We assist with recruitment, appointment, promotion, compensation, leaves, retirement, and everything in between. We provide reliable and effective support to our academic community to advance our mission of outstanding patient care, groundbreaking research and inspired teaching. The recruitments team manages the Recruitment of Academic and Faculty personnel for UC San Diego Health Sciences. The team provides advice and recommendations to the departments and Search Committees to ensure compliance during the recruitment process.
The Academic Recruitment Assistant Analyst will work under the direct guidance of the Senior Analyst in implementing search strategies, and providing recommendations to department chairs and faculty search committees in order to ensure the recruitment compliance requirements are met. This position is the key contact for a selected portfolio of departments through a shared service business model.
Administer the APOL Recruit application which includes posting, monitoring, closing of recruitments, and system-wide reporting;
Act as a consultant for search committees and department chairs to ensure policy compliance and improve hiring outcomes;
Participate in administrative/research policy and program project planning and development;
Participate in the development of the Academic Administration Recruitment policies and procedures related to equal opportunity and affirmative action;
Provide recommendations on policy and procedure changes as well as apply risk management strategies to avoid non-compliance;
Research and prepare reports by summarizing and analyzing information in order to provide high-level recommendations to internal or external constituents;
Solicit periodic feedback from campus and Health Sciences contacts;
Work closely with internal and external clients to process Search Plans, Shortlist, and Search reports as well as increase efficiency and accountability;
Assist with developing education materials and conduct on-going training for department liaisons, campus contacts, faculty, internal staff, etc.;
Assist in all other duties related to academic personnel administration as required.
Bachelor's degree in a related field/area or equivalent combination of education/experience/training.
Acquiring knowledge of and ability to apply/interpret organization and college policies and procedures which govern academic personnel.
Ability to maintain confidentiality and use discretionary practices. Must have excellent interpersonal skills including tact, diplomacy, and flexibility.
Analytical skills to conduct analysis and develop recommendations, demonstrating organization and problem-solving skills. Ability to examine and question policies, processes, and procedures and recommend possible improvements.
Skills to communicate effectively, both verbally, and in writing.
Demonstrated ability to work effectively and collaboratively in a team to set priorities, adjust priorities as needed, and to meet frequent and changing deadlines. Excellent follow up and attention to detail.
Working knowledge with typical business software: word processing, spreadsheets, database, internet/online searching and presentation applications.
Ability to work in dynamic team environment demonstrating business principles: great communication, continuous learning, customer focus, flexibility, integrity, initiative, teamwork, and act as a change agent.
Ability to manage conflicts, identify and develop resolution, ad problem-solve in a team environment.
Experience in academic personnel or university setting.
General audit experience. Ability to adhere to policies and procedures.
