This position reports to the Director of Rady Graduate Student Services and works as a team with a group of graduate academic advisors and others to ensure student satisfaction with Rady graduate business programs. The Instructional Planner (Lead) is responsible for our online Canvas system, our class scheduling process, and our instructional support process (ordering of textbooks; class supplies; classroom related activities.
The position independently drafts the quarterly class schedule for the Rady School of Management's graduate business courses based on onsite classroom availability, course listing, student enrollment, degree requirements, and instructor availability. The position analyzes the proper sequencing of courses based on the Rady graduate programs' needs, past class schedules (and course offerings), historical enrollment data, and optimum current student enrollment.
The position documents graduate-level course creation through the UC San Diego's Registrar's Office, ensures accuracy of course schedule creation through UCSD campus queries/systems and troubleshoots as needed. The position recommends class scheduling alternatives (when scheduling conflict is present) to the Director of Rady Graduate Student Services and implements options as directed. Additionally, the position creates and manages the Rady departmental course scheduling planning documents (Master Course Schedule and Quarterly Class Schedule) and distributes to key audiences on a deadline.
This position collects and analyzes enrollment data, generates reports on enrollment data, and uses enrollment data to influence the quantity of course materials ordered. This position organizes the delivery and distribution of course materials to our students under a tight timeframe. Shares information with faculty and instructors regarding general course information/procedures and miscellaneous information updates (i.e., scheduling preferences, finalized teaching schedule, alternate scheduling options, departmental policies, course evaluations, grade submissions etc.).
The position coordinates TA (teaching assistant) hiring, assists in making TA assignments, explains new hire paperwork requirements and employment eligibility to TAs, and makes online entries into the UCSD Personnel and Payroll System (PPS). Serves as a lead for two instructional support assistant III positions, providing orientation, training, and providing informal performance feedback, participating on interview panels, and taking the lead on problem identification and resolution as it relates to instructional support processes and the Canvas learning management system.

Experience working in a fast-paced student-centric position. Experience working directly with faculty, staff, and students, providing information or advice, and establishing a rapport with a wide range of people.
Thorough experience drafting quarterly/semester class schedules for university-level courses. Experience analyzing classroom availability, course listings, student enrollment, degree requirements, and instructor availability.
Proven working experience making enrollment projections. Experience analyzing historical enrollment data to influence decision-making about academic course offerings, availability, and scheduling.
Strong experience collecting, analyzing, and providing statistics on enrollment trends and generating reports based on enrollment data. Experience explaining enrollment data to others.
Explaining general course information/procedures (i.e., scheduling preferences, finalized teaching schedule, alternate scheduling options, departmental policies, course evaluations, grade submissions policies & deadlines) to faculty and staff. Experience interacting and advising instructors and faculty on teaching schedule policies and general questions related to the academic calendar.
Demonstrated experience explaining registration processes, waitlist procedures, class sequencing to both domestic and international students.
