This position will work in a team setting to accomplish payroll and related tasks for an identified department within the school. The Budget Fiscal Analyst will also partner with the School of Nursing Human Resources (SoN HR) team and department administrators to strategize regarding: analysis, human resources, grants, policies, standard operating procedures, reporting, and other complex financial and payroll-related responsibilities. Financial Analysis and Budgeting:Independently designs and develops systems to be proactive and efficient with department budgeting and payroll. Monitors pay for faculty, staff, and ASE students along with grants housed in FCN, addresses people ending on payroll well before cutoff, and takes steps when shortages or discrepancies are identified.Partners with School of Nursing administrators, faculty, and SoN HR on financial and budgeting issues, including but not limited to: forecasting fiscal needs of departments, analyzing financial data, and independently researching and proposing solutions.Designs and implements internal policies and procedures related to fiscal processes within the School of Nursing. Trains school personnel in these procedures.Ensures compliance with dept, school, UW, state and federal requirements.Keeps department leadership informed of budget and fiscal issues.Manages and organizes key dates that budgets end, identifying new budget number, communicating with P.I. regarding lifetime of budget.Identifies alternative budgets to compensate for lost FTE % when a budget number expires.Maintains records of payroll, ensure the correct documents for hiring/paying an employee is in place in hard or soft copy. Communicates with P.I.'s on grants to ensure budget approval. Maintains quarterly and annual spreadsheets identifying costing allotment per faculty member. Identifies discrepancies and collaborates with Administrator to resolve any errors.Works with other SoN departments and SoN HR in creating new, consistent business processes for departments/School of Nursing. Human Resources and Department Support:Partners with SoN HR on hiring, terminating, entering new hires, and other actions in Workday. Proposes strategies for complex hires and impact to department.Manages overpayments, underpayments, and retropayment processes.Maintains appropriate confidentiality. Processes faculty, staff and student hires into Workday. Assists with processing faculty appointments with department Assistant to the Chair.Advises and supports supervisors of new personnel. Acts as a resource to new personnel and supervisors beyond Onboarding.Provides time and leave management support and guidance for faculty, staff, and students.Performs as back-up Budget/Fiscal Analyst to the two other academic departments to ensure continuity of services and financial resources.As identified, serves on various committees that require financial expertise, Grants:Oversees and analyzes payroll certificate report (GCCRs) and FEC processes for department, and provide expertise to faculty and administrators.Maintains required documentation and records. Ensures procedures, systems and records are ready for an audit at any time. Payroll Reports Management (formatting, editing, reporting out data).Communicates with SoN faculty/staff regarding budgets and allocations of funds.Other duties as assigned.REQUIREMENTSA Bachelor's Degree with major study in accounting, business administration, or related field and two years of work experience as a Fiscal Specialist, or equivalent combination of education/experience.Additional requirements:Previous experience processing payroll in a complex environment.Proficiency with use of computers including applications such as MS Office, Excel, Outlook, Word, PowerPoint, Internal systems (Workday, My Financial Desktop).Experience with creating ad hoc reports from multiple sources; analysis and ability to synthesize data.Demonstrated ability to multi-task, prioritize work and manage heavy workload with frequent interruptions.Demonstrated ability to work independently with minimal supervision.Effective interpersonal skills to interact with diverse groups in a team environment.Proven ability to proactively and independently solve problems in both routine and urgent situations.Excellent written and oral communication skills.Experience which demonstrates consistent attention to details and accuracy of work.DESIREDFinancial/budgeting experience in a University or research setting.Experience with process documentation and process improvement.
