Position PurposeThe Assistant Director for Engagement Programs works with the Associate Director for Engagement Programs, to design, execute and evaluate UWAA events intended to engage alumni and friends to the University of Washington in a meaningful way. This position plays a significant role in furthering the UWAA's broad-based engagement, career and lifelong learning initiatives, and community development. Duties and ResponsibilitiesProgram Development and ManagementBroad-Based EngagementThe Assistant Director for Engagement Programs takes the lead on strategy, planning, logistics, execution, and evaluation for multiple large scale broad based engagement programs annually. These programs include but are not limited to: Dawg Dash, Washington Warm Ups, and UW Night with the Sounders, Mariners, Storm and Reign.This position must:Work independently and in collaboration with the Associate Director of Engagement Programs to lead and implement multiple large scale broad-based engagement events annuallyPrepare and monitor event budgets, make event level financial decisions in consultation with the Associate Director for Engagement Programs, and be accountable for financial outcomes. Perform post-event financial reconciliation and accounting and submit documentation to Associate Director for Engagement Programs.Work closely with the Marketing and Communications department to develop and implement comprehensive communication plans, including print pieces and graphics, publicity, electronic communications (Web and email) and other vehicles to promote events and ensure maximum visibility and best image for the UWAA and the UW.Collaborate with and lead colleagues, campus partners and volunteers to plan and execute integrated cross unit events that support Alumni Association and University Advancement initiatives and priorities.Research, evaluate and select internal and external venues and vendors responsible for providing event services. Negotiate prices and agreements and serve as primary contact for event management and customer service issues.Oversee the development and execution of all event logistics including venue buildout, vendor production and event flow. Serve as on site lead during all phases of event execution.Identify, recruit, educate and direct the work of volunteers and staff to execute high-level customer service at large scale alumni programs for the University.Exercise independent judgment in developing and maintaining relationships with affiliated or potentially affiliated individuals of the University of Washington including alumni, students, supporters and donors.Evaluate programs for outcomes, satisfaction levels and improvement opportunities and make recommendations regarding general and program driven UWAA events.Engage with key program stakeholders to receive feedback and assess future areas of improvement.Engagement Programs SupportThe Assistant Director for Engagement Programs supports the Associate Director for Engagement Programs with strategy, planning, logistics, execution, and evaluation for multiple large scale broad based engagement programs annually. These programs include, but are not limited to: Warm Ups, MAP Breakfast, Dawg Days in the Desert, Reunions and Guardians of the Gonfalon. Key areas of assistance include but are not limited to the following: Assist in Engagement Programs strategic planning: vendor soliciting, selection, negotiating of terms and implementation of engagement efforts.Monitor and reconcile financial budget tracking systems. Plan and implement marketing and communication deliverables. Produce and maintain record-keeping systems for historical event databases. Provide in depth research related to program format, site selection, and program content. Including but not limited to research and comparisons to other PAC-12 institutions major bowl game formats, and other relevant community programs. Support reunion programming through assistance with committee meetings, logistical planning and event day execution. Provide additional support for other emerging Engagement Programs initiatives.Alumni and Stakeholder Engagement SupportThe Assistant Director for Engagement Programs supports the entire ASE team in accordance with key departmental initiatives and priorities. This position will:Partner with ASE program leads and others to provide logistics and programming support in an integrative and collaborative fashionStaff ASE events. Equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for degree. Experience in large scale programming and community development, ideally in a higher educational environment. Experience working with budgets, preparing financial spreadsheets, and tracking expenditures.Experience recruiting and supervising paid and volunteer staffing at events.Demonstrated strong computer skills, including proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc. Desired Experience working in a higher education settingKnowledge of alumni relations/development/advancement principles. Knowledge of UW Advancement policies and procedures, including use of the development database software ADVANCE. Conditions of EmploymentCubicle/Open workspace environment which may result in additional or higher levels of noise and visual distractions.Ability to work evening and weekend hours, as necessary, on short or limited notice.Must have regular and reliable transportation for local travel and willing to travel when necessary.Frequent local and national travel expected.A valid Washington State driver's license is required to operate the UW Alumni Association Van. Candidate selected must have personal transportation and be willing to travel when necessary. Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down. During Events (from setup to tear down) or on Event days:* Ability to stand 4 or more hours continuously.* Ability to walk 4 or more hours continuously.* Ability Standing: duration of 4+ hours for events* Ability to work greater than a 10 hour dayAbility to travel out-of-state up to 10 times per year for events scheduled on evenings and weekends Ability to travel internationally up to 2 times per year to perform duties and responsibilities as a UWAA Alumni Travel Program tour host.
