The purpose of this position is to solicit, evaluate and execute events for the City of Allen, Allen Event Center (AEC); such as entertainment acts, rentals, floor shows, community events, etc. With an emphasis on event execution and management, this position is also responsible for managing the AEC booking calendar, collaborating with tenants, contract management, creating pro formas, and providing guidance and oversight to the Event Services workgroup. Other duties may include analyzing costs and profit margins and providing input with annual budget preparations. This position provides direction to other employees and serves as the Manager on Duty during events on a rotating basis.
This position requires the ability to work a flexible schedule that includes working evenings, nights, weekends and some holidays. Essential Functions The information listed below is intended to describe the general nature and level of work being performed by individuals assigned to this position. Oversees all aspects of event planning and management by providing direction to the Event Services workgroup and ensuring Production needs are met for scheduled third party events.
Oversees the coordination and execution of events by assigning Event Leads, conducting pre-event walkthroughs, and ensuring event execution is conducted per agreed contracts.
Serves as a city liaison between the AEC and the entertainment community to secure contracted events by researching, soliciting, negotiating and booking event rental dates.
Manages the AEC facility calendar ensuring booking accuracy. Develops and maintains relationships with promoters, tour managers and entertainment industry personnel and community clients. Manages clients from initial contact through actual booking, planning, and hosting the rental or execution of show. Follow-up on post-meeting or event evaluation. Maintain detailed records of all client interaction. Supervises employees by interviewing job applicants, hiring and training new employees, observing and monitoring work tasks, providing job performance feedback to employees, assisting in correcting work deficiencies, reviewing employee performance and providing a conducive work environment for open communication and productivity. Collaborates with other AEC team members such as marketing, box office and sales to develop marketing strategies, AEC communications and group ticket sales publicity.
Coordinates, compiles and maintains detailed show files including all related show information from other AEC areas.
Provides information, tracks and reconciles event costs by researching costs and gross potential. Assigns budgets based on show needs and contract requirements.
Negotiates event contracts and contract terms of agreement. Upon event execution and completion ensures contracts and terms are met.
Formal Education / Knowledge
Work requires broad knowledge in a general professional or technical field. Knowledge is normally acquired through four years of college resulting in a Bachelor's degree or equivalent. Relevant experience (minimum of 11 years) will be considered in lieu of education.
Experience Three years of relevant booking and/or event management experience with at least one year supervising others. Applicants with prior entertainment industry experience are desired. We seek a team player who has strong written and oral communication skills
Certification and Other Requirements Valid Class C Driver's License
Intermediate - Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.
Math Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.
Writing Advanced - Ability to write editorials, journals, speeches, manuals, or critiques. Ordinarily, such education is obtained in at the college level or above. However, it may be obtained from experience and self-study.
Managerial Receives general directions. The employee normally performs the job by following established standard operating procedures and/or policies. The employee may choose the appropriate procedure or policy to apply to duties. Performance is reviewed periodically.
Budget Responsibility Does research for documents, compiles data for computer entry, and/or enters or oversees data entry. Has responsibility for monitoring budget expenditures (typically non-discretionary expenditures) for a work unit of less than department size (programs, activities, projects or small organizational units)
Supervisory / Organizational Control Work requires supervising and monitoring the performance of outside contracts and professional services. Those services may include development of various media related to print, video, broadcast and marketing.
Complexity Work is governed by broad instructions, objectives and policies. Requires the exercise of considerable initiative and independent analytical and evaluative judgment.
Interpersonal / Human Relations Skills Decisions regarding establishment of policies may be made. Contact may involve support of controversial positions or the negotiation of sensitive issues or important presentations.

Allen Event Center is a city-owned, 7,000+ seat capacity multi-sport and entertainment arena located in one of the largest mixed-use developments in the country, The Village at Allen.
