JOB OVERVIEW: The Business Operations Manager will support the Executive Director (ED) by managing the daily operational management of the organization and the development and implementation of organizational policies, general committee and policy management, Human Resources, Payroll, and Accounting Oversight, IT oversight and project management, board of Trustee support, and other projects and program management. The objective of this role is to develop, implement, and monitor day-to-day operations of this organization. This position will also oversee the daily internal office functions, customer service and front desk personnel. He/She will provide clear leadership and guidance to the administrative and customer service staff, volunteers and contractors within the context of the set OMA initiatives and the ED’s directives. The Business Operations Manager complements the Executive Director’s primary focus on internal and external matters such as: revenue generation and financial management, operational growth, membership growth and support initiatives, maintaining and expanding industry partnerships, advocacy, and other areas.
Manage and guide all daily operational activities.
Effectively manage and supervise customer service and administrative staff.
Assist the ED with financial oversight, payroll, budgeting and human resources management in concert with department directors in each department.
Effectively analyze and improve organizational processes, work to improve quality, productivity and efficiency in all operational areas.
Maintain a safe and healthy work environment, enforce standards and procedures and legal regulations.
Manage relationships with key vendors such as insurances, IT, equipment, etc.
Develop and maintain monthly operational analytics for metrics and reporting of database systems
Serve as advanced point of contact for customer service issues
Manage office inventory and facility needs
Oversee IT vendors and internal IT project of all scales; including daily desktop support and large system integration projects.
Work with the ED to manage secure financial support for the foundation arm of the organization and occasionally organize fun-raising events as needed to support strategic plan initiatives.
Provide support for the ED, executive and other committee leaders, board and various sub-committees as assigned.
Assist ED in creating broader initiatives, public appearances and presenting vision of the organization; nationally and internationally.
Managing vendors, contractors, agencies and work with providers effectively to fulfill organizational operational requirements.
Manage the development of advocacy and legislative agenda, coordinate with the ED/board and other entities on legislative issues and work closely with statewide and national associations to further the organizational agenda.
Oversee operational staff development and training planning functions and evaluation of new staff induction and continued staff training that emphasizes both basic job skills as well as best-practice innovations and supporting a productive and enjoyable organizational culture.
Participate in the development and implementation of clear revenue generation goals and reports that align with strategic plan and corresponding strategies with the overall management of the OMA.
Attend Board meetings and committee meetings as assigned and provide administrative support pre- during and post-board meetings.
Develop and regularly report on specific program and revenue goals, objectives, outcomes, budgets, work plans, timelines and evaluation processes.
Represent the organization at conferences, professional associations and other public venues as requested by the Executive Director.
