Turning Point School is searching for a Registrar/Administrative Assistant to provide administrative and secretarial support to the Assistant Head of School/Middle School Division Head (AHOS/MSDH) and to maintain meticulous school records. This position is responsible for the efficient organization and operation of the AHOS/MSDH’s office in support of the school community. Using independent judgment and a gracious manner, s/he will perform the following duties directly or in conjunction with other faculty and staff.
The responsibilities listed below indicate the general nature and level of work performed by the Registrar/Administrative Assistant. This is not a comprehensive inventory of all duties, responsibilities, and qualifications required of this position. This position does not manage any staff.
Administrative Assistant Duties:
Foster professional and courteous relationships with the Faculty, Staff, Administration, parents, students, visitors, and vendors
Maintain AHOS/MSDH’s calendar and appointments and facilitate guest visits
Assist with correspondence and other presentation and meeting materials
Serve as point person for several school events; assist with and help coordinate events run by other departments
Create master class schedules for middle school trimesters
Create and communicate schedules for other special events
Perform and assist with other administrative duties, as required by the AHOS/MSDH
Maintain confidentiality at all times
Maintain and disseminate current student academic records, as needed
File and maintain records of former students and alumni
Compile and maintain upkeep of all student medical and immunization records
Manage forms received and maintain records, ensuring completeness and accuracy
Prepare statistical reports for various state and education agencies
Compile and organize medication and medical/allergy action plans
Update and distribute relevant student information
Input, verify, and maintain school information database
Maintain confidentiality at all times
The requirements listed below are representative of the knowledge, skills, and/or abilities required for this position.
Knowledge and Skills:
Thorough knowledge of standard office practices and procedures
Outstanding verbal and written communication skills
Excellent organizational skills, time management, and follow-through
Thorough knowledge of Microsoft Office Suite, including Word, Excel, Outlook, and Publisher
Proficiency with Google apps, SharePoint, and OneDrive is preferred
Excellent research skills
High degree of professionalism, diplomacy, and confidentiality
Solid mathematical acumen
Education and Experience:
3-5 years of Administrative Assistant experience, preferably in educational administration
Bachelor’s degree is required; some postgraduate work is preferred
Familiarity with independent schools preferred
No Certificates, Licenses, Registrations are required
