The Associate Director of Financial Aid, under general direction, serves as a subject matter expert for the Office of Financial Aid and Scholarships, as well as, provides and promotes service excellence through courteous, informed, accessible and professional engagement. Leads, develops and enhances financial aid electronic processes relevant to the continuous quality improvement and compliance monitoring of all aspects of student financial aid programs. Provides leadership, administrative effectiveness and financial aid services, through an emphasis on individual attention to students and high quality customer service.Counsels and correspond with prospective, current and former students on matters pertaining to financial aid while also providing students with accurate information regarding the application process, including federal, state, institutional and loan programs.
DUTIES & RESPONSIBILITIES:
Perform complex financial aid processes, such as awarding, certifying, originating, and disbursing Federal Direct Loans and private student loans; analyzing financial aid applications using data from both the FAFSA and CSS Profile; and determining student funding eligibility.
Counsel students and families about undergraduate and graduate financial aid opportunities and procedures; respond to inquiries from students and parents; interpret and explain government and other regulatory requirements relative to financial aid.
Coordinates the development, implementation and completion of special projects and/or procedures for financial aid and scholarships for student-athletes.
Ensures effective operation of the areas of responsibility within the Financial Aid Office by collaborating with/advising the Director regarding office operations, developing and recommending student financial aid policy, managing aid funds, conducting program evaluation, adapting the financial aid management system to maximize efficiency, working collaboratively with colleagues, and performing duties as assigned by the director.
Confers and collaborates within the department, university, and financial aid industry to ensure TAMUC is meeting all requirements and to identify ways to improve compliance and quality of financial aid delivery to TAMUC students. Works with Director to coordinate annual audit reviews, or periodic audit reviews for the department related to financial aid, scholarships, athletics, and serves as a liaison with auditors.
Collaborates with Director in program audits and monitors implementation of appropriate actions to correct any deficiencies. Reviews audit reports from other institutions and guidance from NASF AA or the Department of Education to mitigate risks of non- compliance.
Conducts/oversees internal self-audits of verification, professional judgment, and other financial aid processes to monitor federal, state, and institutional compliance of work performed. Advises Director on opportunities for improving compliance and minimizing risks associated with the delivery of student financial aid while increasing efficiency and facilitating the delivery of financial aid to TAMUC students.
Promotes a positive image of the Financial Aid Office by participating in administrative and professional venues and making presentations to inform the public about the various financial aid programs and associated application processes.
Works with Director in the establishing and development of both long and short range goals in student financial aid.
Supervises processing team responsible for reviewing and processing financial aid applications to the awarding stage.
Develops and maintains detailed procedural documentation of Banner processes for training and updating staff and for reference.
Coordinates with other professional office staff responsible for federal, state and/or institutional programs for reports and surveys. Coordinates with other professional staff within TAMUC in preparation of the annual FISAP.
Attends financial aid and Banner training workshops and conferences to stay abreast of latest regulations and associated BANNER enhancements.
Establishes and maintains annual calendar of activities associated with Federal, State, and Institutional reports and communicate changes to Compliance Office and Institutional Research Office.
Education: Bachelorâ™s degree in applicable field or equivalent combination of education and experience may substitute the degree (ex: High school and four years of experience, Associates and 2 years of experience).
Experience / Knowledge / Skills: Eight (8) years of related financial aid experience. Demonstrated knowledge of financial aid regulations and compliance. Strong data analysis, ability to identify trends and make data-driven decisions. Working knowledge of automated financial aid processing systems. Knowledge of word processing and spreadsheet applications. Strong research, quantitative, and analytical skills. Detail Oriented. Strong verbal and written communication skills. Strong interpersonal and organizational skills.
Ability to: Ability to multitask and work cooperatively with others. Ability to train functional users on new and existing technologies applicable to their positions. Ability to present information clearly and concisely. Ability to interpret federal and state financial aid regulations. Ability to assist in developing policies and procedures to implement regulations. Ability to assimilate and develop the financial aid module in Banner in reference to regulations, policies and procedures. Ability to use software reporting tools to facilitate database performance assessment and development.

Other Requirements: Work beyond normal office hours and/ or work on weekends. Will be required to receive training in athletic compliance and must follow all NCAA rules.
PREFERRED EDUCATION / SKILLS/ EXPERIENCE:
Masterâ™s degree, experience with Ellucian Banner Student Information System setup.
