POSITION DESCRIPTION: This position provides a wide variety of secretarial and receptionist duties for the Yavapai-Apache Nation Tribal Housing Department.
DUTIES AND RESPONSIBILITIES:
Provide a wide variety of secretarial and receptionist duties including, but not limited to; answers phones, receive visitors, maintain files, prepare routine correspondence, schedule meetings, etc.
Pick up and disperse payroll and accounts payable checks appropriately.
Receive/collect all incoming payments and issue computerized receipts. Make daily deposits of incoming payments.
Maintain records of credit card disbursements and receipts.
Develop and maintain a vehicle check out log for administration vehicles i.e., vans.
Maintain the credited postage amount of the housing postage meter. Call the postage vendor and request additional postage as required.
Prepare travel arrangements for all housing staff employees.
Maintain employee attendance records annually.
Develop and maintain a central administrative filing system and implement the system. Central filing to include all general contracts, agreements, communications, projects, etc.
Develop and maintain an effective office management system, keeping track of the office supplies, office equipment maintenance and making sure that all equipment is in good working order. Monitor office supply usage, assure the availability of supplies, and reorder as needed. Check for the best source and price for supplies.
Process incoming work orders via computer and submit to Maintenance Department.
Record minutes of housing department meetings, i.e., staff, construction, and meetings with other agencies.
May provide reports to supervisor as required.
Maintains professional education and attend required meetings/trainings to keep abreast of changes in requirements which affect the Tribal Housing and current trends in the secretarial field.
Must have a high degree of adaptability and exercise sound judgment, tact and professional attitude.
High School diploma or GED, plus Business Administration Degree.
Three (3) year experience in office management, secretarial and receptionist duties preferred.
Personal Computer skills preferred.
Able to operate various office equipment such as fax, copier, etc.
Ability to present/express themselves effectively orally and in writing.
Must have a valid Arizona Driver License and insurable with the Yavapai-Apache Nation’s insurance policy and maintain insurable throughout duration of employment.
