Position Description: This position provides a variety of complex administrative support duties to the Director of Clinical Education (DCE) for PT. In support of the DCE, this position is responsible for managing onsite clinic patient scheduling, maintenance of medical records, and administering the off-site clinical internships for the School of PT.
Assists Director of Clinical Education (DCE) in implementing new initiatives in the administration of clinical education program data collection.
Maintains relational database (FileMaker Pro Clinical Education Management system) to manage clinical site information including affiliation agreements, site requirements, key contacts, and student internship placement data.
Manages FileMaker Pro Clinical Education Management system and the network share drive (Puget Sound Clinical Site Information) that houses a library of internship site documents and past student evaluations of clinical experiences.
Collects, collates and maintains required documentation from students at the end of each full-time clinical experience.
Prepares and sends student placement requests, confirmations, and required student documentation to internship sites for full-time clinical internships.
Monitors student requirements uploaded into Castlebranch.
Prepares the web-based student performance measure for clinical instructor and student use (Clinical Performance Instrument) for each internship cycle. Acts as point of contact for user questions.
Maintains records of student placements at clinical facilities.
Creates and sends certificates of appreciation to all clinical instructors who mentor students in clinical internships. Sends thank-yous and clinical instructor and clinical experience evaluations to internship facilities.
Communicates with center clinical coordinators as requested by the Director of Clinical Education.
Onsite Clinic Coordination and Administration:
Coordinates administrative functions for the PT Onsite Clinic
Collaborates with the Director of Clinical Education to review referrals for new patients seen in the clinic and exercise group.
Schedules patients for Fall and Spring clinics.
Sends welcome packets and intake information to patients.
Distributes and maintains parking passes for patients.
Creates patient soft charts and electronic medical records in WebPT.
Maintains chart room where patient charts and Clinical Instructor boxes are located.
Updates public display of PT licensure for clinic compliance.
Serves as the front desk personnel for the clinic. This includes checking in patients, sending invoices for administrative fees, collecting payments, collecting patient data, assisting in paperwork completion, restocking and general housekeeping for front lobby.
Deposits administrative fees collected from patients
Serves as liaison between patients, students, healthcare providers and clinical instructors, including scheduling new visits, cancellations, and delivering additional pertinent information.
Supervises PT Clinic Aides.
Sends out electronic Patient Satisfaction Questionnaires at the end of each semester.
Performs other duties as needed.
Supervisory Responsibilities Supervises student staff in on-site clinic.
Budget Responsibilities This position has no budget responsibilities.
Two years administrative support experience.
Exceptional customer service skills.
Personal computer experience and expertise with Microsoft Office desktop applications including Outlook Word, and Excel. Relational database (FileMaker Pro) and internet experience preferred.
Ability to work with minimal supervision.
Demonstrated ability to communicate effectively and professionally, both orally and in writing, with a diverse range of constituents.
Strong organizational skills; ability to manage multiple tasks and projects simultaneously.
Exceptional skill in attending to detail and proofreading documents.
Ability to use diplomacy, discretion, and judgment in providing information to and referring others.
Demonstrated ability to handle confidential information.
Bachelor's degree highly preferred; will consider individual without degree who possesses extensive relevant combinations of education and work experience.
