Mechanical Engineering is one of the largest departments in the School of Engineering at Stanford, with over 40 faculty and roughly 800 undergraduate, masters, and doctoral students. The Department of Mechanical Engineering in the School of Engineering seeks a Graduate Admissions and Events Officer to manage the department's graduate admissions process. Reporting to the Student Services Manager, the Graduate Admissions and Events Officer is the primary contact for the department regarding admissions policy and compliance and is a key member of the 5-person Student Services team. Your responsibilities include:
Reviewing and making recommendations for approximately 1200 graduate applicants per year. This includes the Ph.D. and the full-time and part-time MS degree programs.
Making recommendations regarding graduate admissions policies and procedures to the Department Chair and Chair of Admissions.
Serving as admissions committee member, ensuring smooth flow and timely decision-making.
Analyzing and conferring with the Chair of Admissions and Student Services Manager on financial award allocations for newly admitted students. Manage admission and financial award (e.g. School of Engineering, department and Stanford Graduate Fellowship) offers.
Collaborating with the School of Engineering's Diversity Officer and department faculty to enhance the diversity of our applicants and admitted students.
Managing use of the university's online application review system and PeopleSoft, including report building. Manage communication to newly admitted students.
Liaising with Bechtel International Center staff regarding student immigration issues.
Coordinating the day-to-day operations of the admissions process during peak application season, in collaboration with the Student Services staff.
Managing planning and implementation of ME events, which include recruiting and pre-matriculation events (PhD Admit Weekend and New Student Orientation), annual ME Conference, and ME Commencement Ceremony.
Developing training materials/program for day-to-day operations in the admissions area.
Managing the admissions and events operational budget.
Making independent admission decisions on applications for the non-degree option (NDO) program.
Overseeing updates to the admissions section of the ME web site.
May supervise the work of other staff.
To be successful in this role, you will bring:
A bachelor's degree and two years of relevant experience or a combination of education and relevant experience.
Excellent interpersonal/customer service skills to interface with faculty, staff and students within the department and university.
Proven organizational and time management skills.
Ability to work independently with minimal supervision. Demonstrated ability to independently diagnose and solve problems.
Demonstrated aptitude to manage a large volume of work and to handle multiple tasks in an environment with frequent interruptions.
Proficiency with PeopleSoft, OBIEE Reporting, Excel and Word highly desirable.
Must be available to work through the month of December.
Ability to work independently under minimal direction and be able to handle multiple assignments with fluctuating priorities.
Ability to set own priorities based on the needs of the program and function professionally in a team-work environment
Ability to take initiative and exhibit good judgment in all areas of responsibility.
Ability to function effectively under the pressure of deadlines and frequent interruptions in a busy environment while maintaining a pleasant demeanor.
A comfort with presenting information in front of a large group.
Must demonstrate both verbal and written communication skills to ensure she/he is able to communicate complex ideas to all levels of individuals internal and external to the University.
Ability to form collegial working relationships with all levels of employees internal and external to the department.
