Under general supervision, the Clinical Operations Work Lead will work as Administrative Work Lead under the Department of Ophthalmology, Administrative Supervisor, and all other administrative activities of the Department of Ophthalmology. Review and prioritize all requests and communications. Serve as Work Lead and provide training to other staff for the full operational on tasks they will back-up for Administrative Supervisor in case of his/her absence. Monitor staff productivity and balance staff assignments for effective service delivery. Assess educational and training needs of staff and facilitate staff development. Manage day-to-day smooth operation of administrative functions, including long- and short-range administrative needs. Interact closely with physicians and other clinical faculty and Department Business Office Staff. Using sound judgment, troubleshoot/resolve administrative issues.. Perform other duties and responsibilties as needed.
Incumbent will act as the Patient Check in and Registration lead in the absence of the supervisor and work closely with the leads in other areas of the department. Cross training will allow the incumbent to temporarily take on the job duties of other lead positions (Medical Records & Scheduling) depending on the needs of the business.
SchedulingThe Clinical Operations Work Lead will oversee all scheduling issues, physician calendars, and direct incomings calls to the appropriate area. Will require the knowledge base of how all physician schedules are kept and work.
Patient Check in and RegistrationThe Clinical Operations Work Lead will oversee all aspects of front desk, scheduling issues, physician calendars, and work directly with patient issues, insurance verification and cover the clinic needs on a daily basis. Will require advanced knowledge of how all physician schedules are kept.
Medical RecordsWill oversee all aspects of medical records including, Release of Information, Prescription line, copy service, duplication of photos, billing department requests, provide charts for the clinic and the research department, ordering supplies and maintaining the file room.
Demonstrated executive administrative skills to include the ability to organize and prioritize tasks with strong use of initiative, sound judgment, independent thought, and precise attention to detail with high level of professionalism. Proven ability to independently perform duties with a superior degree of accuracy working effectively with frequent interruptions, fluctuation of workload and a large number of concurrent projects.
Demonstrated experience with a wide range of computer software, including calendar, spreadsheet, work processing, presentation, web design, database, web-based, and graphical programs. Ability to independently learn and teach others various computer software.
Demonstrated experience working in a clinical and/or research setting coordinating and interacting closely with physicians and other clinical faculty and Department Business Office Staff regarding travel expenses, purchasing, subscriptions, and grant applications.
Experience in providing training and orientation to new employees regarding clinic policy and procedures, travel expenses, purchasing, and subscriptions.
Proven ability to coordinate and conduct quality audits and call monitoring to ensure service excellence and adherence to protocols and to serve as patient advocate to ensure patient access to appropriate clinical services within the Department of Ophthalmology.
Demonstrated experience in serving as Lead and provide training to other staff for the full operational on tasks they will back-up for incumbent in case of his/her absence; proven ability to monitor staff productivity and balance staff assignments for effective service delivery.
