With a high degree of accuracy and with minimal daily direction, the Executive Assistant manages complex calendars and scheduling for the Director; determines priorities concerning scheduling conflicts; coordinates meetings; composes, transcribes, and prepares correspondence and reports for review by the Director; prepares PowerPoint presentations and handles all travel arrangements for local, national, and international conferences. The Executive Assistant assists in the planning and coordinating of academic events such as the annual research symposiums and provides major support for special projects associated with the Cancer Center Support Grant and the renewal of the Organized Research Unit to the Office of Research.REQUIRED--Experience providing administrative support which includes but not limited to: managing calendars and schedules, coordinating moderate to large-scale meetings and logistics, purchasing, invoicing and etc.--Excellent organizational skills to independently prioritize and coordinate many work assignments in the most efficient manner, under pressure of deadlines and with frequent interruptions.--Excellent oral and written communication skills to effectively interpret instructions and interact with others; communicate with confidence and discretion where matters of confidentiality are concerned and to exercise sound judgment in releasing information. --Excellent decision making and problem solving skills, and use of independent and sound judgment.--Excellent writing skills to initiate, compose word process, format, proofread and edit various professional documents and correspondences.--Experience and proficiency with but not limited to: MS PowerPoint, Word, Excel, databases, e-mail, travel and accounting systems.--Experience working independently and cooperatively as a teamPREFERRED--Experience with Kuali, Decision Support, AggieTravel and Connexxus.--Working knowledge of University financial policies and forms preparation.--General knowledge of university policy and procedures.--Medical terminology with oncology emphasis.SPECIAL REQUIREMENT - THIS POSITION MAY BE SUBJECT TO A CRIMINAL BACKGROUND INVESTIGATION, DRUG SCREEN, LIVE SCAN FINGERPRINTING, MEDICAL EVALUATION CLEARANCE, AND FUNCTIONAL CAPACITY ASSESSMENT
