The Program Assistant provides standard & routine clerical & administrative support which may include word processing, data entry, ordering supplies, updating website content, opening & sorting mail, copying, filing, faxing, answering phones, greeting visitors, providing information, & or scheduling meetings.
*Please Note: This is a part-time (20 hours per week) position.
Prepares & types form letters, simple memos, emails, labels, routinecorrespondence, etc. Types, copies & or distributes reports, proposals,presentations, etc. Proofs for spelling & grammar. Enters informationinto spreadsheets & databases. May run standard reports.
Provides the Professor of Civil & Environmental Engineering with administrative supportincluding entering financial transactions into the NU Financials system,such as purchase requisitions and online vouchers.
Processes travel andentertainment reimbursement requests for faculty, students, andresearchers, and contracted services payments.
Ensures documentation iscomplete prior to submission to approvers; routes paperwork to theappropriate destinations.
Handles procurement card purchases, includes reconciling weekly statements and following NU policy.
Processes petty cash, travel & parking reimbursements, grant expenses, invoice payments, etc. May balance accounts.
Makes appointments & may complete registration & travel arrangements. Mayschedule rooms & arrange for routine technology & refreshments formeetings.
Answers phones, routes callers, takes messages, greets visitors, respondsto inquiries, requests & provides routine information. Maintains the copyroom in the suite and contacts repair personnel as requested for copymachine, lab equipment, etc.
Provides information on courses, general requirements & policies &procedures; processes forms; sets-up & maintain records; reviews forms forcompleteness, etc. May be responsible for class schedules, registration,proctor exams & or coordinate copyright clearance.
May supervise work of temporary & or work-study students. Assistsco-workers with handling of general financial administrative tasks.
Prepares forms & verifies information.
Performs other duties as assigned.
A high school diploma or its equivalent along with 1 year of administrative support experience is required.
