Job Summary The Research Compliance Administrator will report to the Director of Research Compliance (Director) and will administratively support the Institutional Biosafety Committee (IBC) Chair and the Caltech Biosafety Officer with regard to IBC functions. The Research Compliance Administrator is responsible for activities that ensure Institutional compliance with federal, state and local regulations regarding research. The primary area of responsibility for this position consists of IBC administration. Additional compliance areas will involve proposal review for compliance with biosafety/biosecurity, controlled substances, conflicts of interest, and responsible conduct of research requirements. The Research Compliance Administrator will also support the Office of Research Compliance (ORC) as office manager, responsible for the ORC website, databases, calendaring, travel, and clerical support.
Job Duties - Responsible for coordination, preparation and timely submission of regulatory reports, IBC registration renewals, and documentation, including the IBC Charter, for the biosafety programs at Caltech - Receives and coordinates handling of IBC protocols and biosafety regulatory requests from submission, through review, approval and post approval monitoring.Must comfortably interface with investigators as well as Committee members - Coordinates and attends IBC and biosafety regulatory committee meetings and inspections; performs initial review, preparation and distribution of all meeting materials; including meeting agendas, minutes, SOPs, and committee communications with investigators.Prepares minutes as the official recording secretary - Ensures IBC is functioning properly, working effectively, and fulfilling its Charter - Evaluates protocol submissions to ensure they are compliant with government guidance and institute policies.Works with investigators on behalf of the IBC to submit and process protocols.Maintains IBC records, monitors and administers IBC email, and monitors the IBC webpages for accuracy - Works with the Biosafety Officer to develop the training materials and standard operating procedures that will be used so the IBC meets its compliance training requirements - Coordinates with the Biosafety Officer to document required training for the IBC - Coordinates with the Institute Animal Care and Use Committee (IACUC) through the IACUC Administrator to ensure integrated compliance between protocols that require both IACUC and IBC oversight - Provides overall administrative support to the Director, the Committee Chair of the IBC, the Biosafety Officer, with regard to IBC functions - Assists the Director/Institutional Official with compliance requirements in the areas of biosecurity, controlled substances, chemical precursors, conflicts of interest and responsible conduct of research, as needed - Serves as ORC office manager, responsible for ORC website, databases, calendaring, travel and clerical support - Other duties as assigned
Basic Qualifications - Bachelor's Degree - Independent, detail-oriented, reliable, with excellent troubleshooting skills - Strong communication skills and the ability to comfortably interact with various levels of management and faculty - Proven strong organizational skills and the ability to manage and oversee multiple projects and assignments effectively - Strong computer skills including experience with Microsoft Office suite
Preferred Qualifications - Regulatory compliance administration experience; experience as an IBC administrator or similar experience is desired - Comfortable with website management, database usage, and familiarity with doodle polls, travel systems, and CITI online training
