The mission of the M Center is to assist students in achieving their academic goals and to address their concerns regarding their academic records, financial aid and student accounts. As part of the M Center, the mission of the Registrars Office is to support students in achieving their educational goals, maintain the accuracy of academic records, uphold the integrity of the Mills degree, and support the academic programs of the College. In compliance with the 1974 Family Educational Rights and Privacy Act (FERPA), the office also protects the security of students academic records.
Job Description Summary: As an integral part of the M Center, the Academic Records Specialist provides administrative support to the M Center, the Registrar, and Associate Registrar. The Academic Records Specialist maintains excellent communication between all members of the Records and M Center teams.
This roles duties include, but are not limited to:
Prepare and maintain academic records files
Maintain Academic Records website
Oversee the Mills extension credit programs
Assist with orientation, commencement, and registration
Coordinate the production of the course schedule
Manage and process Academic Records forms
Provide support for graduation evaluation process
Oversee cross registration program
Perform grade entry and reconciliation
Process waivers and substitutions for degree audits
Oversee study abroad program applications
Perform records related data entry, reconciliation, and respond to interdepartmental data requests
Supervise student assistants
Update procedures manual
Maintain inventory of office supplies
Serve on committees as assigned, including serving as secretary for Academic Standing Committee
Manage records email and voicemail
Perform related duties as needed
Required Knowledge, Skills, and Abilities:
Bachelors degree or equivalent and 1 to 2 years experience in an administrative position.
Ability to work collaboratively as part of a team
Knowledge of modern office procedures; correct English usage and grammar; recordkeeping; basic research techniques
Intermediate knowledge of database software and MS Word; basic knowledge of MS Excel, HTML, internet browsers and email usage
Ability to exhibit strong customer service orientation for all levels of Mills College constituencies and members of the public
Ability to take appropriate steps to promote and sustain effective working relationships within a diverse multicultural environment
Desired Knowledge, Skills, and Abilities:
Experience with integrated educational database preferred
Experience working in higher education
This is a full-time non-exempt position with an excellent benefits package including medical/dental/vision/life/LTD insurance/403(b) retirement plan, 10 days vacation the first year, 12 sick days and 10 paid holidays annually. Staff members also receive free admission to campus events, use of the pool, fitness center, and tennis courts. Tuition remission is also available after an introductory period.
