The UWMC Alvord Brain Tumor Center has an outstanding opening for a Patient Services Specialist Lead (Full Time, Day Shifts). Under general direction and supervision from the RN Manager, the Patient Services Specialist (PSS) Lead coordinates the daily patient intake and check-out flow and ensures excellent patient support services for the Cancer Center, leads the PSS and other assigned staff and performs the work of other PSS levels. The PSS Lead regularly assigns, instructs, checks the work of others and trains and orients new staff. The PSS Lead provides feedback on employee performance while identifying and resolving operational problems.
PSS duties include:
Staff Supervision and Leadership
Assigns both daily and emergency coverage schedules to ensure that all service areas are sufficiently supported.
Reviews and corrects the work of others for compliance with established procedures.
Provides feedback to supervisor/manager for employee performance evaluations, corrective action plans and staff training.
Assists in the preparation and maintenance of clinic staffing schedules in collaboration with the RadOnc Management team.
Trains and orients new employees in the duties of the PSS job classification.
Participates in routine staff meetings to share information and create a team building forum.
Evaluates department policies and procedures to suggest operational changes.
Monthly rounding on direct reports for feedback and input for staff retention.
Shows a high degree of professionalism when performing the tasks and duties of the PSS classification.
Schedules patient appointments including new, follow-up, re-schedules, and cancellations.
Assists others and resolves problems or makes decisions as necessary.
Ensures smooth reception and check out for all Cancer Center patients.
Documents and communicates appointment cancellations.
Monitors and manages the telephone skills of all front desk staff to ensure appropriate and timely response to calls.
Answers the telephone in a professional & courteous manner according to UWMC standards.
Correctly assesses patient questions and needs, and responds quickly and appropriately.
Directs calls to appropriate staff; obtains necessary information for the return call; initiates emergency procedure when necessary
Provides backup and support to department PSSs to cover vacations or other staffing shortages.
Correctly directs physician calls to appropriate resource within the department.
Maintains excellent interdepartmental communications to ensure that patients receive timely and supportive services in other areas.
Medical Records/Billing Activities
Reviews daily schedules to identify required medical record requests
Verifies patient insurance status and confirms authorization for current services.
Collects cash co-payments and appropriately documents
Verifies patient's demographic and contact information.
Initiates charge documents upon patient arrival to clinic.
Operates a multi-line phone system.
Operates computerized scheduling, patient registration, electronic medical records and other applications as needed.
Utilizes E-mail and internet resources as required and according to University guidelines
Ability to communicate in English, both verbally and in writing.
Demonstrates excellent interpersonal skills.
Basic computer knowledge, Data Entry
Keyboard skills: 35+ wpm preferred
Attention to detail and consistent follow-through on required tasks
High School Graduate or Equivalent AND three years of PSS experience OR equivalent education/experience.
