The Administrative Assistant III provides general, professional-level administrative support to the entire department, under minimal supervision. The Administrative Assistant III has responsibility for ensuring compliance, contracting, and fiscal controls and is largely self-managed and self-regulated. The Administrative Assistant III's responsibilities include but are not limited to: Calendar maintenance, invoice processing, contract management, and assist in the production of presentations, written documents, and other materials; general meeting planning including set up, AV needs and catering; assist with travel arrangements for staff as needed. The Administrative Assistant III has primary responsibility for the daily administrative office functions including all mail and delivery services, coordination with accounts payable and building maintenance, main phone line and phone service, office supply ordering and inventory. S/he will have the knowledge of and ability to interpret University and health system policies and procedures regarding travel, reimbursements, purchasing and personnel. The Administrative Assistant III must exercise and demonstrate a high level of sensitivity and confidentiality, using sound judgment and discretion in representing the leadership of the department and in handling sensitive and confidential issues. The Administrative Assistant III requires excellent communication skills and experience, including the ability to use interpersonal, verbal and written skills in order to deal effectively and patiently with people from diverse backgrounds and cultures.REQUIRED--Intermediate Microsoft Office experience.--Experience supporting financial operations such as budget preparation, invoice management, and utilizing financial software programs.--Experience organizing complex projects and/or events.--Experience adhering to compliance requirements, controls, policies and procedures.--Ability to set timelines, meet deadlines and manage multiple projects/tasks simultaneously.--Ability to learn specialized software applications as necessary.--Ability to represent the department with professionalism, tact, and discretion.--Ability to exercise sound judgment and make effective decisions based on department, campus, and University policies and procedures.--Ability to function as a resource in areas of expertise for those requiring assistance.PREFERRED--Prior administrative office experience supporting executive level leadership.--Working knowledge of UC, UC Davis and UC Davis Health policies and procedures. --Experience using UC financial systems, including Kuali and Aggie Travel.
